The primary function is to assist faculty in the Department of Psychiatry with day-to-day office functions with a high level of organization and expertise.
Basic foundation in administrative, clinical and academic concepts and practices sufficient to enable the incumbent to recommend changes in processes, to devise and install procedures, and to foresee administrative problems and requirements is needed.
The incumbent will perform a variety of office support functions including scheduling and coordination of meetings, coordinating travel arrangements for faculty to scientific meetings, reimbursement, and keeping records related to faculty reports. Specific tasks include: Maintain a calendaring system for multiple faculty, answer telephones, maintain CV’s, organize meetings and conferences, human resources functions such as assist in hiring and on-boarding, and with additional administrative tasks as needed. Familiarity with facilitating or coordinating the credentialing and onboarding of new faculty hires, letter preparation and organization of highly confidential performance documents. Faculty recruitment coordination experience is favorable. This position provides support to the Child Psychiatry Service Chief as well as several child psychiatry faculty.
- Requires a high school education or equivalent and 4 or more years experience
- Proficient in Microsoft Windows, Outlook/Meeting Maker email/calendaring, Excel and Powerpoint.
- Experience with financial management and account reconciliation.
- Basic knowledge of U-M research activities are essential; experience in Concur & MPathways preferred.
- Outstanding written, verbal communication and organizational skills.
- Attention to detail and accuracy is essential,
- Excellent oral communication skills and customer-service,
- Ability to handle multiple tasks in a fast-paced office environment with competing deadlines.
- Faculty recruitment coordination experience is preferred.

Qualities the candidate should possess: reliability, attention to detail, ability to get along with others in a close working environment, ability to work on a team and provide support to teammates, excellent attendance, responsive and demonstrates ability to problem solve and take initiative; manage priorities independently; excellent customer-service and communication. Progressive experience performing general administrative work is preferred; knowledge of University organizations, systems and operations is highly desirable. Experience working with EndNote (or related software).
