Job Summary

Responsibilities*

Purpose of Position referral coordinator for the Frankel Cardiovascular Center will coordinate and facilitate communications between primary care physicians and managed care plans, specialists, clinic personnel and patients regarding authorization for service.  Serve as expert in inquiries from patients, providers and staff.  Work in collaboration with our patient financial counselor as required to expedite patient services.

Characteristic Duties and Responsibilities:

  • Serve as liaison between primary care physicians, specialists and patients/families in the referral approval process.
  • Obtain authorizations, pre-certifications and benefit level verification from third parties for appointments scheduled in cardiology.
  • Display excellent customer service skills with all communications including those with patients/families, physicians and staff.
  • Evaluate and process authorization requests to include communication with patients and insurance plans, and obtain authorization decisions for the primary care physicians.
  • Serve as resource for physicians and other staff, patients and outside third parties for managed care authorizations and other managed care related contract issues.
  • Maintain authorization files for the FCVC Clinic including data entry of referrals and monitor work lists.
  • Coordinate with central Managed Care Operations and clinic Patient Representatives. Assist with patient education related to the special requirements of Managed Care Plans.  Perform other duties consistent with patient representatives of managed care patients.
  • Respond to patient and family phone calls related to authorization concerns (i.e. patient receives a bill, ER authorization, etc.).
  • Facilitate scheduling of specialty services and schedule appointments as necessary.
  • Direct patients to insurance carrier to address coverage and benefit questions related to appeals, when appropriate.
  • Assist in policy design and evaluation as requested by Contracting Office/Managed Care Operations.
  • Personal interaction involved when obtaining and providing sensitive and confidential information and evaluating and responding to concerns, questions and complaints from patients experiencing confusion and stress due to illness.

Supervision Received:  General supervision is received from the FCVC Call Center manager. Staff members in this classification are expected to exercise judgement in identifying problems, seeking and implementing solutions.

Required Qualifications*

High School diploma or an equivalent combination of education and experience is necessary.  Previous experience in referral management and/or clinic clerical experience at UMHS.  This position requires excellent customer service skills. Energetic individual, motivated with a positive and professional attitude.  Must be a team player with ability to take direction and communicate with peers and patients courteously and respectfully at all times.  Ability to multi-task and work in a high volume area is necessary.  Demonstrated effective verbal and written communication skills.  Must be very comfortable working with computers and have a general knowledge of office practices.  Requires flexibility in all aspects of work assignments.

This position requires excellent customer service skills to patient, families, faculty, staff and peers.  All candidates must demonstrate a positive and professional attitude, providing outstanding customer service in all interactions.  Must be a team player with ability to receive direction and communicate with patients / families, and staff courteously and respectfully at all times.  Must be detail-oriented, have ability to multi-task and work in a high volume area.  Demonstrated effective verbal and written communication skills.

Excellent computer skills in many applications in addition to experience in a medical office / outpatient practice.  Requires flexibility in all aspects of work assignments.  Adherence to the CVC clerical uniform policy is required when in Clinic. 

Desired Qualifications*

Experience in a hospital business office, insurance office, physicians private practice or related setting is necessary.  Reasonable knowledge of hospital and departmental policies, procedures and regulations is desirable.
