Job Summary

 This position provides administrative support to the faculty and technical staff of the Pediatric Epilepsy Program in the Division of Pediatric Neurology, Department of Pediatrics.



  • Enter daily monitoring charges into hospital billing system and verify accuracy
  • Complete physician billing forms for monitoring studies and batch for archive
  • Monitor test appointments and pending orders for LTM/STM/ACR studies
  • Schedule admissions for monitoring (LTM) patients
  • Scheduling for Ictal SPECT studies
  • Schedule, monitor and facilitate results reporting for monitoring studies
  • Maintain database of consults completed by physicians and forward to billing
  • Update patient monitoring database to reconcile PEFs for billing
  • Maintain appointment calendar for inpatient floors and distribute to inpatient team
  • Generate monthly revenue reports for Epilepsy Director and Division Administrator
  • Verify insurance – 3rd party and HMO for reimbursement for STM/LTM/ACR
  • Send out monitoring test result letters and mail after MD signs
  • Cross coverage for EEG patient service associate
  • Manage Outlook calendar and daily reconcile the MiChart Calendar/schedule for EEG team room

Pediatric Epilepsy Surgery:

  • Schedule studies in a timely manner, follow up on studies, and obtain prior authorization if needed
  • Schedule and organize times and locations for the intraoperative and extraoperative mapping teams
  • Maintain patient log
  • Respond to and evaluate patient inquiries including follow up
  • Provide notification to all parties for Refractory Epilepsy Conference and Upcoming OR Dates
  • Schedule appointments for Multidisciplinary Pediatric Epilepsy Surgery Clinic
  • Pre-phone interview new patients
  • Manage schedule of two Pediatric Neurologist
  • Attend clinic and assist with patient flow
  • Schedule follow up appointments
  • Obtain prior authorizations
  • Obtain outside records
  • Maintain Pediatric Epilepsy Surgery E-mail List
  • Maintain patient data including active and past patient excel files, statistics needed for USNWR and program growth and revenue

Required Qualifications*

  • A high school diploma or equivalent
  • 3-4 years of experience
  • Prior experience performing complex scheduling
  • Knowledge of basic medical terminology
  • Highly responsible administrative experience, including at least one year in a hospital or clinical setting
  • Considerable knowledge of and ability to use advanced business software and computer applications
  • Excellent interpersonal and organizational skills
  • Ability to exercise good judgment and work independently and as a team member
  • Excellent attendance record
  • Ability to multitask and prioritize work load
  • Excellent customer service skills

Desired Qualifications*

  • Bachelor’s Degree in related field
  • 4-5 years administrative experience in healthcare setting
  • Considerable knowledge of medical terminology
  • Working knowledge of MiChart

Work Schedule

 Monday – Friday, 7:30 a.m. – 4:30 p.m.
