Position summary

The Veteran Grant Administrative Assistant will be responsible for providing a wide range of administrative and project support services to the Project Director and grant management team.  This position requires strong organizational skills, attention to detail, the ability to provide proactive support and to complete independent projects as well as work in a team-oriented culture/structure.  Duties include coordination of scheduling logistics for program personnel, project grant travel planning and expense tracking/reporting, filing, data entry and database maintenance, assisting in the production of grant and evaluation meeting materials, establishing/maintaining designated tracking systems, assisting with grant compliance review, producing grant-related and other reports, participating in School of Nursing and grant meetings as designated, taking meeting notes, handling incoming and outgoing correspondence (electronic and postal), and production of various teaching and learning materials and presentations. 

Examples of Job Function/Duties:

Coordination and Communication  




  • Schedule meetings and appointments


  • Correspondence development, editing, mailings, copying, production of materials and other related tasks


  • Scheduling and coordination of travel


  • Assist in creating presentations/reports by collecting and analyzing data using Powerpoint and other software tools 


  • Prepare and order materials/refreshments for meetings and other designated events/activities


  • Attend and take notes at meetings and disseminate as established and/or requested


  • Serve as the initial point of contact for inquiries regarding the Veterans BSN Program


  • Coordinate and manage incoming and outgoing electronic/postal/phone communications


  • Help establish and maintain currency of information on the Veteran BSN website and/or designated section on Nursing website   


Administrative




  • Develop thorough understanding of School of Nursing and Veteran BSN Program so that support responsibilities can be conducted in a proactive versus merely a responsive manner 


  • Serve as administrative point of contact for various staff and/or grant-related groups and/or activities


  • Manage day-to-day administrative assistant operations, screen communications/reports, triage information, problem-solve and/or direct appropriately


  • Provide administrative support to the Grant Project Director and Program Manager and others as directed


  • Filing, data entry and database maintenance


  • Establish and maintain designated tracking systems; assist with grant compliance review


  • Organize and maintain electronic and/or paper files of grant documents and resources


  • Effectively maintain program recruitment materials in sufficient quantities for continuous use 


Team work




  • Work with School of Nursing colleagues, faculty, students, and those in other departments to accomplish tasks and responsibilities


  • Contribute/participate in School of Nursing operations in ways that promote team effectiveness and overall positive school Esprite de corps



 

Required Qualifications*

 










 




  •  Four years administrative experience and a bachelor’s degree or equivalent combination of education and experience required(Transcripts will be requested at interview)


  • Strong interpersonal, written and oral communication skills required


  • Ability to coordinate and simultaneously manage multiple priorities and work independently


  • Demonstrated ability to establish and maintain strong working relationship with a variety of constituencies including administrators, students, faculty, consultants and community partners


  • Experience working with diverse, multi-cultural groups, including racial and ethnic minorities


  • Proficiency in general office and computer skills required - Microsoft Office (tests will be administered)


  • Working knowledge of some university systems (Concur, Blackboard, Wolverine Access, etc.)

  • Military experience/veteran status preferred


  • Some knowledge of nursing and/or health care is desirable
