Reporting to the Director of Human Resources, the University of Michigan Law School is hiring a faculty assistant to provide complex secretarial support for multiple members of the academic faculty, including, but not limited to, tenured, tenure-track, visitors, adjuncts and emerti as assigned.  The selected candidate will perform a wide range of secretarial & administrative support for these faculty members.


Prepare all course materials, including acquiring copyright permissions when required, posting assignments manually and electronically using Canvas, ability to maintain class and faculty websites when required, prepare presentation materials using PowerPoint, electronically create class seating charts, careful proofreading ability, insert faculty edits into documents, proctor exams and create spreadsheets for grades.

Support and assist faculty with research endeavors, including, but not limited to, case and article retrieval using Westlaw, Lexis and other data bases.

Assist faculty publishing, typing, formatting, revision of text, proofreading of manuscripts, articles, and books  including the ability to produce a Table of Contents and Index. Work with co-authors and publishing companies.

Financial duties include: All aspects of monthly P-card charges in accordance with University guidelines, as well as reconciling of research accounts, travel and faculty reimbursements.

General secretarial duties including answering the phone and screening calls in a professional manner, arrange meetings, appointments, maintaining busy calendars for multiple faculty members.

Compose, type, edit and proof all correspondence.
Perform complex mail merges and database searches, coordinate mailings of clerkship letters, assist with annual faculty reports and handle all confidential materials and communications appropriately.

Schedule frequent, complex multi-destination domestic and international travel itineraries and accurately prepare and track the reimbursement process following University policy and procedures.

Required Qualifications*

Bachelors degree and progressively more responsible secretarial experience.

Proficiency in MS Word, Excel, PowerPoint, Adobe Acrobat, Gmail and Access highly preferred.  Some previous working knowledge of legal databases (Lexis, Westlaw, etc.), the University M-Pathways system and the University financial system, Concur, is also desired. Some experience with WordPerfect and legal secretarial/writing terms is a plus. 

Excellent communication skills are required, as well as the ability to handle multiple assignments, deadlines and priorities; demonstrated ability to work independently, showing sound judgment based on experience, as well as the ability to work on a team in a professional and collaborative manner; ability to learn quickly; demonstrated accuracy and attention to detail a must, as well as the ability to handle sensitive and confidential matters with tact and discretion. Exemplary customer service skills are required.

May be required to move boxes and other materials.

Must be able to remain in a stationary position for long periods of time.
