Job Summary

LSA Development, Marketing and Communications (DMC) joyfully creates a culture of giving and engagement for the nation’s preeminent public liberal arts college. DMC seeks an Administrative Partner who will join the Business Operations team in providing consistent, professional and friendly customer service and support; embrace and advance Business Operations team cohesion, values and behaviors; apply knowledge of University policies and procedures, the liberal arts, and the advancement model; and, support donors, alumni, students, and friends of the University of Michigan. DMC Administrative Partners positively represent the University, College, and DMC. They work collaboratively across University units and within DMC to provide extraordinary service and solutions to colleagues and constituents.


Administrative Partners (APs) serve as the foundation in supporting all of DMC. APs truly partner within all areas of the DMC office, working strategically with each team and working collaboratively with University units (including LSA departments) to efficiently serve colleagues and constituents, to inspire remarkable investments, and to support overall DMC needs.

Working in a positive organizational culture, we come into contact daily with alumni, donors, faculty, staff, and students. It is integral to our mission to represent the Dean(s) and College effectively. Successful APs are authentic, nurture high quality connections, embrace feedback,  and continually learn in order to flourish. They make connections to ensure a consistent and thoughtful team environment and approach.

Specific responsibilities:

Provide professional, personable and joyful service including:

Accurate, timely and delightful service to ensure your team has the resources required to support the College. This includes but is not limited to: facilitate, complete, and follow up on reporting requests; coordinate strategic and economic travel support; provide DART and other donor support; and ensure accuracy in written and verbal correspondence with students, donors, faculty, and staff.

Project Coordination. Prepare project plans and maintain records. Support/coordinate special projects as required and assigned. Track and communicate action items. Complete deliverables as assigned.

Calendar management for team and/or group meetings. Provide email management upon request for director and delegates.

General financial support such as processing invoices, managing expense reports, submitting and following up on PeoplePay and additional pay requests.

Greeting, directing, and assisting visitors to the department; accepting and routing deliveries; answering main telephone line and directing callers; collecting and distributing mail; printing various materials.

Planning and executing staff recognition and other events while adhering to DMC culture and promoting joy and giving.

Required Qualifications*

High school diploma and 2-4 years of experience.

Strong interpersonal communication skills; excellent verbal and written skills.

Must demonstrate strong attention to detail; strong skills in grammar, business writing.

Demonstrated experience in effectively communicating and operating in a customer service environment.

Ability to work independently and as a team member to set priorities and handle multiple assignments and deadlines. Ability to work on multiple, diverse deliverables simultaneously.

Thrives in a collaborative and open working environment. Incorporates customer support and business needs in decision making.

Excellent working knowledge of Google (calendar, email, documents, spreadsheets) and Microsoft (Word, Excel).

Desired Qualifications*

Bachelor’s degree or equivalent experience in administrative support.

Reasonable familiarity with M-Pathways (specifically Financials, ImageNow and DART, PeoplePay, Additional Pay, Purchase Orders, MReports), BusinessObjects.

Experience in proofreading and editing.

Experience in managing front office operations for a large department.

Experience in supporting fundraisers personnel.

Working knowledge of the University organizational policies, rules, regulations, procurement and purchasing.

Experience managing projects and informing your team as needed of risks and issues.

Makes decisions that support short term goals and considers long term process.

Identifies improvements and takes initiative to improve customer support and internal operations.

Experience in a higher education development setting, preferably at the University of Michigan.

Passion for the University of Michigan and the liberal arts.

Note - LSA DMC office location is moving in August to 101 N. Main Street in Downtown Ann Arbor (corner of Main Street and Huron Street).
