Job Summary

The Office of Student Support and Accountability (OSSA) in College of Engineering's Office of Student Affairs is a primary resource for students struggling with personal and academic issues.  The OSSA provides confidential and holistic support to students, helping them overcome their concerns, develop strategies to cope with stress, and continue with their successful academic careers.  The OSSA administrative assistant advances this mission by providing efficient administrative support to the OSSA Director, staff, and programs.

Responsibilities*

  •  Provide responsible and efficient administrative support to OSSA team. This is including, but not limited to: greeting and directing students and visitors to appropriate office staff; calendar management for OSSA; personal administrative support to director; providing event support; maintaining a friendly and accessible environment; screening, tracking, and directing  telephone calls, mail, and other communications with OSSA team; preparing and recording minutes for weekly team meetings and other meetings as required.
  •  Assist in developing and maintaining administrative reports, files, and databases. This is including, but not limited to: reports and data management; tracking student visits across OSSA services; Honor Council and Scholastic Standing data; student support data; student demographic information.
  • Maintain office supplies, equipment and informational materials/information (including online resources);coordinate logistics (room reservations, catering, etc.) for meetings and events; serve as a liaison to maintenance and technical support services.
  • Reconcile unit PCards and statements of activity; maintain detailed budgetary records.
  • Perform other duties as assigned to support OSSA.
     

Required Qualifications*

Bachelor's degree required; exceptional administrative and organizational skills, highly efficient multi-tasking abilities; strong verbal and written communication skills; flexible problem-solving skills; ability to work in a very fast-paced office environment with a high attention to detail; excellent interpersonal skills, including the ability to work and communicate effectively, positively, and professionally with the University community and external constituents; familiarity with Microsoft Office and Google Apps; ability to represent the College of Engineering and the Office of Student Affairs with a strong, student-centered ethic; demonstrated abilities to handle sensitive communications, maintain confidentiality, and work collaboratively as part of a team.

Desired Qualifications*

Knowledge of University policies and procedures.
Experience with M-Pathways.
