The School of Social Work Office of Field Instruction (OFI) is committed to providing social work students with the necessary support and resources to successfully complete their field placement. Our office manages over 700 MSW, dual degree, and doctoral students per academic year in over 500 human service agencies. In addition, we are committed to the development and maintenance of field placement options, the continuing professional development of field instructors, and advising of students.
The Office of Field Instruction is seeking a part-time administrative professional to provide high quality support for data entry and maintenance, student form processing, report creation, desk reception, editing, event preparation and other administrative processes. This position is part-time (20 hours per week) and will report to the OFI Office and Projects Manager.
The employee will be scheduled for work within the hours of 8:00AM-5:00PM Monday-Friday.
Database/web forms support (50%)
- Process routine paperwork and forms related to the student or field placement site
- Complete high-quality, accurate data entry
- Compile reports on student or field placement data
- Perform routine database maintenance processes
- Enter and maintain web information on events and due dates
- Perform audits of field supervisor licensure
Administrative/office support (50%)
- Create documentation related to special international student requirements
- Greet students and answer basic questions in person, on the phone and through email
- Assist students and field supervisors in filling out online forms
- Assist with event and meeting set-up
- Other duties as assigned
Bachelor’s degree and a minimum of 2 years office experience.
Excellent interpersonal and communication skills. Strong drive to deliver excellent customer service. Reliable and detail oriented with excellent time management skills.
Experience with using Windows-based computer programs; proficient and comfortable with working independently on computers and with a variety of applications including database/data entry.
Demonstrated ability in working with confidential information or highly sensitive matters.
Ability to exercise independent judgment and employ basic reasoning skills. Demonstrated maturity and ability to make decisions regarding handling procedures for student and agency paperwork; ability to work independently and to interact professionally with School of Social Work students, administrative staff, faculty, Associate Deans and community-based partners.
Experience/understanding of relational databases and web-based applications; experience with FilemakerPro, Wolverine Access, Qualtrics, Drupal and Google Suite (Gmail, Google Drive, Google Calendar, etc).
