Job Summary

The Department of Anesthesiology, Division of Pain Research has an immediate need for an Administrative Assistant Intermediate skilled in providing administrative and clerical services to ensure effective and efficient operations.  This position will be supporting an interdisciplinary team that is studying opioid prescribing, opioid efficacy, and opioid-related morbidity during acute care (e.g. surgical care, dentistry, emergency medicine) in order to create a patient-centered approach to safer opioid prescribing. Our team is gathering detailed clinical data on opioid prescribing, educating patients and providers on the risks associated with opioids, and identifying and disseminating best practices in post-operative opioid prescribing.  Furthermore, the group is working to understand the individual patient factors associated with opioid responsiveness, opioid-related morbidity and the risk of becoming newly dependent or addicted to opioids after acute care treatment. The team is open to candidates seeking both part- and full-time employment.


Calendaring coordination: meetings, travel, events, and interviews including teleconferences, room scheduling, ordering food, create itineraries, flight reservations, ground transportation, hotel arrangements, conference registrations and other applicable arrangements.

Supplies and expenses: Ordering of supplies; prepare, submit PCard reconciliation, hosting expenses, reimbursements and assist with monitoring of expenditures and budgets

Special projects including though not limited to: help maintain website; assist faculty with PowerPoint presentations; assist with formatting, citation checks, creating figures of grants, manuscripts, abstract and DUA preparation and submissions; track published articles, lectures and media coverage of three PI's and team efforts.

Required Qualifications*

High school diploma or equivalent and two to four years of experience. Knowledge of medical terminology. Experience with a variety of computer software programs, including but not limited to Microsoft Office products, Outlook and WordPress. Ability to operate standard office equipment, including but not limited to: computers, phone systems, calculators, and copiers. Demonstrates strong problem-solving skills. Excellent communication, both oral and written, and interpersonal skills. Ability to prioritize, organize, and efficiently work on multiple projects at the same time. Ability to work independently and meet deadlines and have a positive service-oriented attitude.

Desired Qualifications*

  • Experience editing and updating WordPress websites
  • Experience with Adobe Illustrator

Work Schedule

20hrs - 40hrs per week. 3 year term limit.

Additional Information

This is a term-limited appointment.  At the end of the stated term, the appointment will terminate and will not be eligible for Reduction in Force (RIF) benefits.
