The Graduate School is seeking a detail oriented administrative professional to provide high level support for the Rackham Program Review in the Dean’s Office. Responsibilities will include tracking and updating materials as it relates to contacts, meetings, reporting, and follow-up. Provide additional support to other projects as they relate to program review as needed. Quick turnaround on workflow and accuracy are essential. The ideal candidate will have experience working with a range of academic departments across campus with the ability to provide excellent service to our stakeholders in representing the Dean’s Office.

A higher salary may be offered based on the qualifications and experience of the selected candidate.


Job responsibilities include but are not limited to:

Provide highly responsible and complex administrative support for the Director of Rackham Program Review (RPR) including finalizing meeting notes, creating correspondence, editing and proofing reports and documents. Provide general administrative support to the Director of Program Review.

Create and maintain documentation of all program review activities as it relates to administrative support. Develop and maintain electronic files, paper records, and databases to ensure the accurate and timely sharing of information to meet deadlines. Maintain archives of program review activity, funding, and Rackham-supported projects. Proactively seek and implement ways to make tasks more efficient and effective.

Responsible for updating and maintaining the contact list of all Rackham programs.  Proactively review contact list for accuracy and ensure updates are completed in a timely manner. Maintain consistent communication and build rapport with Rackham graduate program coordinators.  

Required Qualifications*

An associate’s degree and at least four years of customer service focused administrative support experience or the combination of education and experience that enables the performance of all aspects of this position. Demonstrated ability to support a senior-level administrator with broad responsibilities in a complex organization.

Excellent planning, organizational and work coordination skills are necessary, including a positive, flexible, responsive service-oriented attitude with excellent attention to detail and the ability to prioritize and meet deadlines in a timely manner.

Excellent oral and written communication skills are essential, including the capacity to build collegial relationships across the University and the ability to work with a wide range of people who represent our diverse and multi-cultural society. Demonstrated ability to exercise considerable respect, discretion, initiative and diplomacy in assisting people in matters of a sensitive and confidential nature.

Advanced knowledge of and demonstrated proficiency with Windows operating systems, MS Office Products (MS Word and Excel), Adobe Acrobat Pro and Google Tools. Some familiarity with Access, SharePoint, and MBox. Ability to utilize data base management systems, tracking/logging systems, manipulate spreadsheets and utilize current information technology.

Some knowledge of the academic goals and issues in graduate education, and understanding of issues of diversity in higher education. Understands and values diversity and the importance of inclusion as demonstrated through a commitment to apply and incorporate the differences, complexities, and opportunities that diversity brings to an organization.

Desired Qualifications*

Bachelor’s degree or equivalent combination of education and experience is desired.

Administrative support experience in a University of Michigan department or program is strongly desired. Work experience in a Rackham graduate program is a plus.

Advanced knowledge of and demonstrated proficiency with web browsers, the M-Pathways Student Administration and Financials preferred.

Knowledge of University organizational structure, policies, procedures, and practices; and working familiarity with and appreciation of the diverse cultures of the schools, colleges, and units of the University.
