Job Summary

The Department of Orthopaedic Surgery, is looking for a qualified candidate for the position of Administrative Assistant Assoc. Healthcare. This position will support faculty in our Spine Service, as well as provide support for several department initiatives.

The Administrative Assistant Assoc. must exercise strict confidentiality of health information, and be able to provide general administrative support, along with having a commitment to UMHS core values, including service excellence.

Responsibilities*

  • Manage complex calendars for faculty using MS Outlook
  • Attention to detail and strong follow-through skills
  • Maintain faculty curriculum vitae (CVs) in M-CV and NIH Biosketches
  • Requires the ability to exercise independent judgement and employ basic reasoning skills
  • Coordinate travel arrangements for domestic and international engagements
  • Screen, prioritize and route all written and electronic correspondence, and phone calls following established procedures
  • Assist and coordinate in the development of outlines, handouts, slides, graphs and other presentation materials
  • Some transcription may be required
  • Assist in preparing manuscripts and journal reviews as directed by faculty
  • Procure goods/services using UM Purchasing card and reconcile P-card statement monthly using Concur including out-of-pocket expenses
  • Function as an effective member of a multidisciplinary team
  • Support Spine Service APP’s in monitoring and reconciling CME expenditures
  • Assist as needed with larger departmental events/conferences/clinics
  • Assist with departmental responsibilities including, but not limited to, such activities as ordering and tracking Lab Coats, ordering business cards, ordering and monitoring general office supplies, organizing and upkeep of department’s supply room.

Required Qualifications*

  • High school diploma or equivalent
  • Less than 2 years of administrative experience
  • Willingness to take direction and learn/develop new skills
  • Excellent written, verbal and interpersonal skills
  • With supervision, be able to handle a variety of tasks, set priorities and meet deadlines
  • Ability to work as a team member
  • Familiarity with Marketsite
  • Proficient in the use of computers, including Microsoft applications (Outlook, Excel, Word, PowerPoint, Google Apps)
  • Ability to interact and communicate effectively with faculty and staff

Desired Qualifications*

  • Experience working in an academic medical environment
  • An ability and willingness to learn new software (EndNote, Adobe, etc.)
  • Work Schedule:  Monday-Friday 8:00 a.m. - 5:00 p.m.
  • Work Location:  2912 Taubman Center., Dept. of Orthopaedic Surgery
