Job Summary

The Penny W. Stamps School of Art and Design seeks an energetic, dedicated and knowledgeable individual to join the Stamps Gallery team as the Preparator and Exhibitions Coordinator. Reporting to the Director of the Stamps Gallery, the incumbent will be an integral part of a small team, and be involved in all aspects of exhibitions and programs at the Stamps Gallery.  The ideal candidate will be highly collaborative with strong inter-personal and problem-solving skills to quickly and effectively resolve a wide-range of issues that may arise during installations and exhibition planning.  The Preparator and Exhibitions Coordinator will be responsible for overseeing key functions of coordination of the exhibition logistics from concept to close including installations and shipping arrangements. 
 
Exhibitions Installation and De-Installation 75%
  • Lead the installation and de-installation of exhibitions at the Stamps Gallery and other venues as assigned; ensure completion of activities on time and within budget parameters. Occasional evening and weekend hours required.
  • Prepare galleries for installations, including wall and floor preparation, lighting design and implementation, moving walls, installing exhibition components (cases, mounts, etc.), and the production and installation of exhibition labels and graphics. 
  • Purchase and/or design and fabricate custom cases, bases, mounts, and other exhibitions furniture.
  • Provide direct oversight for the movement of artwork, including receiving, packing/unpacking, shipping, storage, and occasionally transporting artwork, handling objects and equipment in a safe and professional manner.
  • Conduct condition reports on incoming and outgoing work.
  • Provide installation instructions for all artworks including 2-D, sculpture, new media installations, including power amps, digital video projections, synchronizer units and different computer platforms.
  • Prepare exhibition loan agreements, corresponding with artists, collectors and/or institutions and in compliance with relevant university policies and procedures.
  • Assist as directed in developing exhibitions-related budgets, including preparing cost estimates for supplies and materials, insurance, shipping, etc.
  • Coordinate the work of temporary installation staff, volunteers and interns as assigned.
Venue Maintenance and General Exhibitions Duties 20%
  • Coordinate venue maintenance, including cleaning of gallery displays and equipment, daily inspections and reporting / follow-up on maintenance needs, and monitoring of environmental or related conditions as required.
  • Maintain an up-to-date inventory of tools and supplies integral to installation/de-installation and related activities, ordering supplies as required; ensure the cleanliness of the Gallery’s storage area and implement best practices in storing tools, packing / shipping materials, exhibitions furniture, and all other supplies. 
  • Under the direction of the Director, train gallery staff in installation skills, proper tool usage, policies, procedures, and best practices.
  • In collaboration with the Director of Facilities, identify and rectify safety hazards, and provide safety training and instruction to temporary employees and volunteers.
  • Covers regularly-assigned Front Desk shifts, including evening and weekend hours.
Special Projects 5%
  • Assists with related school events, activities, and initiatives as requested.
Salary Range:
The salary range for this position is $24,000 - $26,000 with an 60% appointment (based on a full-time rate range of $40,000 - $42,500). 
 
Hours:
24.00 hours per week, Tuesdays through Saturdays, with regular evening and weekend shifts.
 
Supervision Exercised:
Coordinates the work of interns, volunteers and student assistants

Required Qualifications*

  • Bachelor's degree in art/design, museum studies or other relevant field.
  • Minimum of 3 years experience in art handling, installations, design and preparation with a proven understanding of proper handling techniques for a range of creative work including 2-D and 3-D objects, digital media, and multimedia.
  • Current and demonstrated knowledge of techniques used in exhibition preparation, loan maintenance, scheduling and supervising packing and shipping, condition reports and installations. 
  • Demonstrated experience working with small tools, mechanical and power, and working knowledge of construction methods such as drywall, painting, and framing. Gallery lighting experience and carpentry/woodworking skills a plus.
  • Knowledge and skills sufficient to successfully install digital, multimedia, and other tech-intensive works and to troubleshoot technical issues as they arise.
  • Evidence of strong interpersonal and communication skills, and demonstrated ability to work collaboratively in a fast-paced, diverse environment. 
  • Strong work ethic, a high level of professionalism, and ability to plan, prioritize and implement projects and to manage multiple projects under deadlines.
  • Computer and database proficiency, with experience using Word, Excel, the Google suite of tools, and databases (Filemaker Pro preferred). Macintosh experience preferred.
  • Excellent organizational skills and attention to detail.
  • Ability to work independently and as part of a team with close supervision and within a diverse, multicultural environment. Must be a self starter comfortable with receiving input from many sources.
  • Knowledge and skills sufficient to effectively coordinate a team of volunteers, interns, and student assistants.
  • Ability to work a flexible schedule, including evenings and weekends.
  • Physical requirements include: ability to use diverse tools needed to hang/install/affix exhibits in a safe and appropriate manner, hydraulic lifts, dollies, etc.; the ability to hang/install/affix exhibits of varying shapes, sizes, and weights at varying levels, ranging from very close to the ground to several feet off of the ground; to elevate exhibits of varying shapes, sizes, and weights at varying heights, ranging from very close to the ground to several feet off of the ground; to move, assist with, and/or coordinate the movement of fragile and heavy objects; and to maintain certain positions and postures for time needed to safely and appropriately hang/install/affix exhibits.
     
 

Desired Qualifications*

  • Supervisory experience.
  • Proficiency with Illustrator, SketchUp, or related software programs.
  • Motivated, passionate and experienced in working on exhibitions of contemporary art and design.
  • Familiarity with the curricula and aims of the Stamps School programs. An understanding and appreciation of the academic goals and issues in university-based art-design education a plus.
  • Previous work experience in a higher education environment.
  • Experience working with students and colleagues from diverse backgrounds.
