Job Summary

This position serves as the point person for a variety of HR and Academic Services Office duties.  Responsibilities include providing a broad range of administrative assistance to our Associate Chairs, daily student/visiting scholar services within the HR and Academic Services Office, and serving as the initial point of contact for faculty, staff, and students.

Office coordination-45%

This position is responsible for creating a welcoming, organized, efficient, and professional office environment and greeting guest, students, faculty, and staff.  Responding to in-person, email, and telephone inquiries.  Gathering and updating support materials for award competitions and programming needs, and scheduling appointments.  

Help with paperwork.

Visiting Scholar requests.

 

ASO Communications-30%

Triaging all emails via the Footprints ticketing system to ensure they are routed to the correct team member and maintaining all quick responses and updates to system.  Sending out all announcements, and maintaining IT displays and signage related to ASO activities. 

 

Event/Meeting Coordination -25%

Work as part of the team to support all ASO events and programming.  Help with all meeting and event coordination including Visit Day, Orientation and MEUS. 

 

Required Qualifications*

The ability to successfully work with a diverse faculty, staff, and student body is key to success in this position.   Experience in student services and the ability to communicate accurate information in a welcoming and constructive manner. Ability to work independently at the direction of the Associate Chairs and the ability to work on a team.  We are looking for a well-rounded and highly organized team player with excellent customer service and communication skills.  The ideal candidate will have broad knowledge of higher education practices, UM procedures, and campus resources.

 

Considerable knowledge of personal computing software such as Word, Excel, and PowerPoint is necessary. Working familiarity with the MPathways Student Administration System, Business Objects, and the Google suite of applications is strongly desired. Knowledge of and personal commitment to continuous business process improvement required.

 

Understanding and value of diversity and the importance of inclusion as demonstrated through a commitment to apply and incorporate the differences, complexities, and opportunities that diversity brings to an organization is required.  Office is team focused so duties may vary.

 

Work Schedule

Expected to be Monday - Friday 8am-5pm. Position pays $12-15/hour; Scheduled to start at the end of August, 2017 and is expected to last through December, 2017.
