Job Summary

The MiChart team at the University of Michigan seeks an Epic Application Coordinator to develop, update and maintain research capabilities in the Epic application. We help study teams leverage the Electronic Health Record (EHR) for a variety of research activities from recruitment through study closeout. Our strategic partnership with the Data Office guides researchers’ build with the goal to enable data extraction for their study analysis.

Responsibilities*

The Application Coordinator is responsible for the following tasks:

  • Maintain regular communication with Epic representatives.
  • Work with Epic representatives and the U-M business community and end users to ensure the system meets the organization’s business needs.
  • Understand the options involved in application specifications.
  • Prioritize and implement requested changes to the system.
  • Perform in-depth analysis of workflows, to design configuration options
  • Coordinate software updates and changes. Comply and understand with internal department and team documentation (including procedures, processes, and standardization) to use in conjunction with Epic applications.

Participate in troubleshooting issues:

  • Assist end users with problematic configuration?
  • Escalate issues to Epic for resolution

Team:

  • Take on call responsibilities and triage tickets as assigned by manager
  • Participate as knowledge owner for specific functionality as assigned by manager
  • Assist other AC’s with functionality in which you are the knowledge owner.
  • Achieve additional training for functionality as assigned by manger
  • Train other AC’s on functionality when additional certification is achieved

Required Qualifications*

  • A Bachelor’s degree in information systems or a related field and/or a combined experience in healthcare, research, or related field.
  • Willingness and a strong aptitude for learning new technologies and assuming responsibilities.
  • Flexibility to adapt to a changing environment is required.
  • Proficiency in use of Microsoft Office Suite, including but not limited to: Access, Excel, PowerPoint, Visio, and Word.

Skills and characteristics of a successful Application Coordinator include the following:

  • Ability to work collaboratively with teams of all sizes and share updates about status of work.
  • Ability to Multitask complex work assignments.
  • Exceptional communication skills (both written and verbal) collaboration, coordination to effectively relate with multiple teams, subject matter experts (SMEs) and customers, and confidence in dealing with complex business situations.
  • Ability to work in a dynamic development environment and adjust to changing priorities, processes, and project plans.
  • Demonstrated ability to consistently meet or exceed expectations for exemplary customer service.

Desired Qualifications*

  • An understanding of clinical workflows in healthcare and exposure to clinical research and its end-user community.
  • Experience and/or certification or proficiency in an Epic application. If incumbent does not have Epic certification or proficiency, incumbent must pass certification or proficiency testing within a certain time period following hire.
  • The ability to lead meetings, prioritize, resolve conflicts, maintain issues lists, manage a project plan, and follow-up as appropriate.
  • The ability to probe for information about the underlying needs of the organization and user community, which directly influences how the system will be build.
  • Ability to investigate and resolve project issues in a timely manner.
  • Strong organizational skills with attention to detail and a demonstrated competency for working effectively on a team as well as independently, as needed.
  • Project management experience.
  • Business analysis and workflow experience.
