Job Summary

The Alumni Association of the University of Michigan (AAUM) is seeking a Stewardship Officer to join the growing development team that is an integral part of the Association's strategic transformation plan.  The team is focused on growing the funding opportunities for scholarships and operations in order to provide meaningful ways for alumni to connect and be successful.  This position is a great opportunity for those passionate about stewarding donors. A cover letter is required for consideration for this position and should be attached as the first page of your resume. Responsibilities*

The Stewardship Officer is responsible for supporting the development team in creating and sustaining positive relationships with donors and other key individuals by assisting in developing impact collateral, acknowledging donor gifts, assisting with follow-up after donor visits, and initiating, organizing, and segmenting multiple stewardship communications to be in line with best practices across the University of Michigan.

Characteristic Duties and Responsibilities:

Create and implement stewardship strategies that strengthen long-term relationships with all donors.

ADMINISTRATIVE – 40%

  • Support the on-going development and implementation of Alumni Association gift acknowledgement, impact reporting, and donor recognition standards.
  • Produce acknowledgments and recognition materials for annual, leadership, and major gifts that are consistent across all giving levels.
  • Create segmented tracking and reporting systems for gifts.
  • Steward new or unassigned prospects via personal phone calls, written communications and in-person visits.
  • Work with gift officers to develop individualized strategies and produce timely communication based on donor preference.
  • Coordinate with development staff and finance staff to make sure gifts go to appropriate funds or establish new gift funds.
  • Manage budget to align resources and programs with organizational goals.

DONOR COMMUNICATION – 40%

  • Partner with marketing to manage and execute annual calendar of stewardship communications, including direct mail, phone, electronic, and social media.
  • Work with the marketing team to update stewardship stories and marketing pieces to enhance communication to donors.
  • Create and secure donor communication materials for cultivation and stewardship events and donor visits.
  • Produce impact reports including the development of donor stories, compilation of organizational progress, and preparing mailing lists.
  • Assist in preparing briefing materials for meetings, events and donor visits for the gift officer(s).
  • Partner with annual giving, membership, and major gifts team to create cohesive multi-channel strategy and leverage resources.

STEWARDSHIP PROGRAMS/OTHER – 20%

  • Travel to and staff Alumni Association events as needed.
  • Assist gift officers in managing fundraising events related to cultivation and stewardship.
  • Ensure gifts are transmitted properly and create donor communication materials for event as needed.
  • Facilitate matching of donors and student scholarship recipients with gift officers.
  • Partner with program areas across organization to leverage outcomes and success.
  • Monitor industry trends and make recommendations for changes or enhancements to stewardship programs.
  • Work with Office of University Development Stewardship as needed.

General Duties and Responsibilities:

  • Provide staff leadership and personal support for AAUM activities and events as necessary.
  • Provide appropriate support to the Alumni Association’s Board of Directors and its committees.
  • Complete special projects as assigned or required.
  • Participate in Alumni Association and University of Michigan committees as required.
  • Participate in and/or lead appropriate team and staff meetings.
  • Remain knowledgeable about current trends and proficient with new technologies/resources.
  • Share knowledge through internal communications.
  • Represent the Alumni Association at University and Alumni functions as needed.
  • Support the Alumni Association strategic vision.

Supervision Received:

Direct supervision is received from the Associate Director of Annual Giving & Stewardship.

Supervision Exercised:

The position may coordinate the work of temporary and/or student employees.

Required Qualifications*

  • A bachelor’s degree and at least three years of professional experience.
  • Experience with creating and implementing comprehensive stewardship plans for donors.
  • Willingness to travel for donor cultivation and stewardship events.
  • Experience with customer relationship management software.
  • Experience with Microsoft Word, Excel and PowerPoint.
  • Experience with running reports and merging data.
  • A proven ability to find innovative solutions to issues and problems, exhibiting a can-do approach to developing solution strategies.
  • Excellent interpersonal and communication skills.
  • Strong relationship building skills and proven ability to succeed in team environments.
  • Proven ability to manage many tasks concurrently, continually setting priorities on emerging requirements and changing timelines.

  • An ability and willingness to quickly learn the history, traditions, mission, demographics, faculty, current programs, departments, etc. of the University of Michigan and the Alumni Association.

Desired Qualifications*

  • Experience with DART (Donor Alumni Relationship Tool) software.
  • Experience with Peoplesoft, Business Objects software.

Work Schedule

This position may require some evening and weekend work.
