The Center for Campus Involvement (CCI) in University Unions within Student Life at the University of Michigan is a dynamic, student-focused department that serves all undergraduate and graduate students through student programs, student services, and student development. Through meaningful involvement, CCI creates transformative experiences, a vibrant community, and lifelong memories for University of Michigan students. CCI recognizes and supports over 1,400 student organizations through education, advising, advocacy and services. CCI also implements hundreds of social, educational, cultural, and recreational programs each year, focused on building community within and beyond University Unions’ facilities. CCI directly employs 13 regular staff and 80 student staff.

University Unions Overview
University Unions is a self-funded auxiliary enterprise which serves the campus through its three historic unions (Michigan Union, Michigan League, Pierpont Commons), academic meeting and dining facility (Palmer Commons), Center for Campus Involvement (over 1,400 student organizations and hundreds of programs), and works in close partnership with Conferences & Event Services and Michigan Dining to provide student-focused and customer-oriented service to the campus community. Total budget volume for University Unions approximates $20 million. University Unions directly employs over 80 regular staff and 250 student staff.

Job Summary

The Office Manager performs a variety of professional and administrative support to the Center for Campus Involvement. This position supports staff by coordinating project requests and calendars, providing ongoing customer service training for student employees, and modeling quality service. The Office Manager also administers financial functions, such as the coordination of service billing, purchasing, and contract routing processes.

Note:  This is a full-time, 10-month seasonal position from August through May with June and July off.


 Customer Service (45%)
• Provide an excellent and inclusive approach to customer service, including listening, responding to, troubleshooting, and taking initiative to meet all student and customer needs.
• Manage the condition of the CCI office space, ensuring an organized and welcoming environment for all external and internal students and guests.
• Create office procedures that allow staff and students to be successful in their work.
• Coordinate all projects requested by staff and provide functional supervision to the Involvement Coordinators, undergraduate student employees, who work at the CCI front desk to complete projects and meet organizational needs. 
• Answer in-person, phone, and email inquiries.
• Assist in the onboarding process of new hires.
• Communicate and interpret Center for Campus Involvement, University Unions, Division of Student Life and University policies and procedures.
• Resolve problems by comparing and evaluating various courses of action and understanding policies, seeking guidance when appropriate.
• Support the flow of information across the organization.
• Serve on committees and work groups as requested.
• Take responsibility for fostering a positive workplace and make ethical decisions that promote student, organizational, and institutional success.

Office and Project Support (45%)
• Coordinate staff and department calendars.
• Attend and take minutes at CCI staff meetings as requested (i.e., Monthly CCI Staff Meetings, Biweekly Functional Area Meetings, Weekly Student Employee Meetings, Bi-annual Student Employee Retreats)
• Coordinate and manage the front desk work schedule for student employees.
• Train student employees on customer service and CCI in order to provide an excellent and inclusive customer service approach in-person, on the phone, or online. 
• Assist staff in coordinating assessment and evaluation initiatives.
• Make travel arrangements for students and staff.
• Serve as the point person for office maintenance requests, mail, supplies and equipment, general office copying, and coordination of office retreats and celebrations.
• Provide support to the student organization registration process and daily management of Maize Pages, the online student organization management system, including the development of online applications and forms.
• Produce high quality databases, tracking sheets, reports and other documents.
• Manage all internal controls documents and procedures.
• Act as a general resource to student employees and student organization leaders in their work.

Financial Support (10%)
• Provide administrative support to all CCI budgets and budget tracking.
• Coordinate service billing, supply and equipment purchases, financial transactions, and contract routing processes with accuracy and timeliness.
• Reconcile purchasing cards in accordance with policies and procedures.

Other duties as assigned.

Required Qualifications*

• High school education or equivalent
• Two to four years of administrative support experience
• Experience with office equipment and supplies
• Demonstrated experience coordinating budget expenditures and revenue
• Experience providing customer service
• Proficiency with information technology applications including: spreadsheets, database development and management, word processing, and social technology

Desired Qualifications*

• Associate’s or Bachelor’s degree along with university work experience
• A creative approach with an ability to suggest improvements
• Excellent written and organizational skills
• Reasonable knowledge of University policies and procedures
