We are seeking a motivated and highly organized research administrative assistant to support two mid-level Gastroenterology faculty at the University of Michigan, providing approximately 50% support to each. The individual who fills this role will report directly to the investigators and their project managers and will be an integral member of a flourishing GI health services research program that spans Michigan Medicine, the Institute for Healthcare Policy and Innovation (IHPI), and the VA Center for Clinical Management Research (CCMR).

Responsibilities will include but not be limited to:

  1. Calendar scheduling, including multidisciplinary faculty group meetings at IHPI and the Medical campus.
  2. Administrative support to the principal investigators on clinical studies and training grants, and their research teams, including obtaining IRB and ULAM approvals.
  3. Manuscript development, reference organization & formatting, and publication related duties.
  4. Screen, prioritize and route written, electronic correspondences, phone calls, and outside requests, responding as appropriate on behalf of the investigators. Initiate, compose, edit, proofread, and type correspondence, strategic documents, and PowerPoint presentations.
  5. Coordinate correspondence with other research teams, stakeholders, and administrative units.
  6. Provide staff support for meetings and committees.
  7. Track action and pending items and assignments.
  8. Schedule and attend meetings as requested to document and publish meeting minutes, schedule follow up meetings and publish agendas.
  9. Maintain biosketches and other support for grant applications.
  10. Schedule meeting conference rooms & audiovisual conferencing services. Order & coordinate meeting refreshments.
  11. Coordinate JF2K monthly meetings.
  12. Manage core budgets and maintain accurate and detailed financial documentation.

Required Qualifications*

Required for Senior level -

• A minimum of 4 years of experience in an administrative support capacity.
• Bachelor's degree or equivalent combination of education and experience is necessary.

Required for Intermediate level Level -

• A minimum of 2 years of experience in an administrative support capacity.
• Bachelor's degree or equivalent combination of education and experience is necessary.

Required for both levels -

• Exceptional interpersonal skills and team player attitude.
• Proficient in Outlook, Microsoft Word, Excel, PowerPoint, Concur, Blue Jeans, M-Marketsite, Google calendar.
• Exceptional attention to detail.
• Excellent organizational, multi-tasking skills and ability to work independently with minimal supervision and regularly exercise judgment in setting priorities.
• Ability to manage a fast paced professional work environment.
• Experience with off-site meeting coordination.
