Job Summary

The College of Literature, Science, and the Arts (LSA) invites applications for an administrative assistant for LSA’s new Opportunity Hub.  The Opportunity Hub reports to the assistant dean for student development and career initiatives and is housed under the area of LSA Undergraduate Education. The LSA Opportunity Hub is a transformational initiative to encourage all students to connect their liberal arts education with their goals and aspirations. Hub staff collaborates with campus partners to facilitate access to experiential learning opportunities both on and off campus, funding, employer partnerships, and alumni mentors so students can explore challenging, diverse opportunities, discover what matters most to them in their education and beyond, and put their liberal arts education to work.

We are seeking candidates who have innovative and flexible approach to work, enjoy working in a quickly evolving area, and are comfortable taking action in a growing and changing workplace. We seek candidates with a commitment to creating access to opportunities for the diverse population of LSA students and have an interest and commitment to the liberal arts and sciences. 

Responsibilities*

The administrative assistant will help maintain an efficient office environment through a variety of organizational tasks.  The individual in this position is expected to perform tasks to support a wide range of employees.  This position reports to the lead administrative coordinator.

50% - Provide administrative support to Hub staff. Manage and maintain calendars. Coordinate and set up meetings. Handle confidential material and information. Prepare and edit correspondence, communications, presentations and other documents. Coordinate travel and prepare expense reports in compliance with University policy. 

25% -  Input and manage the Hub’s data in the University’s alumni and donor database (DART) while maintaining the highest level of confidentiality. Post internship positions and alumni and employer contact information in the LSA Opportunity Network. Generate reports as needed.

20% - Serve as back-up administrative support and work on special projects as needed.

5% - Professional Development

Required Qualifications*

Associate’s degree or equivalent combination of education and/or relevant experience in a higher education setting. Very high level of organizational ability, including the ability to organize and coordinate a diverse workload with attention to detail and meet deadlines. Must have a positive service-oriented attitude and excellent interpersonal skills. Proficient using Microsoft Office and Google software. Experience using databases. Demonstrated written and communication skills.

Desired Qualifications*

Bachelor’s degree in a liberal arts field.  Demonstrated experience with university systems, policies, and procedures.  Appreciation of and ability to articulate the value of the liberal arts and sciences.

Due to the rapid growth of the Hub, this individual will need to be adaptable to change as it is expected this role will evolve to best serve the needs of the organization. This role will require the ability to occasionally work extended hours including early mornings, evenings, and weekends.
