The individual chosen will be responsible for meeting the highest standards of customer service including, exhibiting a professional and positive image when interacting with patients, faculty and staff.
The Intake Coordinator is the primary point of contact for patients new to the Head & Neck Program as well as our Unknown Primary Program. The coordinator will monitor the patient flow from the first call to their arrival into the Comprehensive Cancer Center. This flow is tracked in a New Patient Tracking System that tracks request and receipt of records, slides, radiology cds and insurance authorization along with all communications with patient and referring.
Responsibilities for new patient referrals:
- Arrange new patient appointments and develop relationships with referring physicians’ offices.
- Triage cases coming into the Head & Neck Program and Unknown Primary Program.
- Ensure patient appointments are expedited the day the call comes in or if message left after hours the next morning and all information scanned upon obtaining. Using the new patient tracking system, ensure all path slides and radiology films/discs are here for the appointment. The process is to get all new patients seen within 1-2 weeks.
- Contact patients regarding new patient appointments and inform them of the information needed for the appointment. Assist patients in obtaining pertinent information for the appointment.
- Monitor timely receipt of information and follow-up to locate needed records, pathology slides and radiographic studies prior to the appointment utilizing the new patient tracker program.
- Arrange for review by University of Michigan Pathology or Radiology Departments.
- Discuss urgent cases and new referrals with physicians as appropriate.
- Obtain anything missing that is needed during the first visit.
- High School diploma or GED.
- A minimum of 3 years of previous work experience working with the public.
- Demonstrated ablity to interact with a diverse population.
- Strong organizational and prioritization skills.
- Demonstrated record of excellent attendance.
- Exhibits professional and positive image when interacting with patients, faculty, and staff.
- Able to handle multiple responsibilities in a fast-paced environment with accuracy.

- General office practice experience is required.
- Demonstrated excellent verbal and written skills.

- EPIC/MiChart experience.
- Experience working within a large, complex health care setting.
- Prior experience performing complex scheduling.
- Ability to understand medical documentation and general knowledge of medical terminology.
- Knowledge of university policies & procedures.
8:00 - 4:30 Monday - Friday in the North Ingals Building
