Provide high-level administrative oversight of the Dermatology Residency training program (24 residents), handle day-to-day administration of the program, provide high level administrative support to Residency Director and Associate/Assistant Director(s).
Administrative oversight of Dermatology Residency training program includes: the responsibility to interpret and assist the Program Director and Associate/Assistant Director(s) in the application of institutional and external policies and procedures as they impact resident training. The Residency Coordinator will serve as an advisor on the interpretation and application of policies and procedures, drawing on their broad knowledge of graduate medical education. Act as the lead expert on ABOD and ACGME policies and procedures; scheduling and acting as the ex-officio member of the Clinical Competency Committee (CCC) and the Program Evaluation Committee (PEC), plus all relevant activities associated with the committee meetings; working within WebADS to complete all ACGME requirements, including the Annual Program Update, checking on resident case logs and running reports, etc.; maintaining appropriate information for ACGME Self Study; keeping up to date with any and all changes from the ACGME; tracking data; and completion of all internal and external surveys.
Lead efforts in the annual resident recruitment process. Manage ERAS resident application online program. Coordinate, plan, and oversee all activities for and related to Resident Interview Day. Prepare annual match list, and help Program Director certify list. Coordinate medical student letters of recommendation.
Manage HR documentation for all residents including, but not limited to, new hire documentation, processing terminations, and holiday pay. Manage incoming resident credentialing and appointment processes. Monitor and assist residents in maintaining compliance with State licensing requirements, UMHS mandatories, recording of clinical and educational work hours. Review mandatory compliance courses and paperwork for each resident. Coordinate, plan, and oversee all activities for incoming residents, including resident orientation processes. Order all pertinent supplies.
Financial: Manage the preparation of GME resident and Department operational budgets for submission, approval, and administration of funds. Maintain accurate and current schedules in MedHub and monitor resident FTEs. Maintain and reconcile the education Pcard, including hosting reports for resident meals. Reconcile up to 10 project grant accounts, including monthly reconciliation of receipts, invoices, and expense reports.
Day-to-day administration of Dermatology Residency Program includes the above plus: Act as the main contact for all residents for answering questions and/or resolving problems. Maintain all aspects of MedHub including monitoring residents’ work hours, and enter residents’ monthly on-call paging schedule. Assist in coordination of the resident didactic schedule. Event planning duties include: arrange catering, room reservations and other tasks as necessary for daily and annual events. Serve as the Expense Delegate for residents to prepare expense reports in the Travel & Expense System (Concur). Serve as project coordinator for Quality Improvement (QI) Projects, and work with QI Faculty Lead.
Provide administrative support for the Residency Director and Associate/Assistant Director(s). Support includes: maintain calendars in Outlook; coordinate travel arrangements and prepare itineraries; prepare expense reports in Concur; process and track faculty absences and track CME hours. Initiate, compose, and edit correspondence. Manage incoming phone calls.

Bachelor’s degree and 3-5 years of progressively responsible administrative experience, or an equivalent combination of education and experience required. Must possess demonstrated ability to take initiative, work independently, prioritize, manage multiple assignments, and follow through on job responsibilities. Excellent verbal, written, interpersonal communication skills with a strong customer service focus and an ability to interact with a wide variety of individuals in a professional manner. Excellent organizational skills with attention to detail and accuracy required. Strong office computing experience required; advanced skills with Microsoft Office applications highly desired. Proven ability to assess and handle highly sensitive and confidential matters required. Effective time management, problem-solving and analytical skills are necessary; ability to consistently meet deadlines is essential.
Desired qualifications include: Bachelor’s degree or Master’s Degree; at least 3-5 years of graduate medical education experience; knowledge of ACGME policies and procedures; and knowledge of UM policies and procedures preferred. Familiarity with MedHub, MiChart, ERAS, Wolverine Access, Microsoft Office (Word, Excel, PowerPoint).
Hours/week: Core hours are M-F 8:00AM-5:00PM. Flexibility in schedule is required to meet the needs of the program, including occasional evening and weekend hours.
