Job Summary

We are actively seeking a detail oriented administrative professional who will provide exceptional customer service and work collaboratively with the faculty and staff of the Department of Dermatology. The Transactional Processing Associate will be responsible for: ensuring highly accurate data tracking and data entry; gathering data and prepping documents/reports; ensuring timely communication to all stakeholders; and, for providing customer service in an efficient and timely manner. Quick turnaround on workflow, accuracy, and confidentiality are essential. This position will be expected to be reasonably knowledgeable about UM policies and procedures and Department of Dermatology policies and procedures, but is not tasked with approving requests or interpreting policy applications.

Job duties include, but are not limited to:

Data/Records Management

  • Track, respond, process inquiries, data needs, and ad hoc requests from internal department stakeholders on a variety of transactional requests. Including submitting and tracking ARS web requests. Get necessary approvals and complete associated tasks and provide timely communication.
  • Digital and physical record keeping. As appropriate, prepare/organize/label/route/file documents for processing/approval/archive, resulting in confidential, accurate, timely, and efficient results that meet departmental needs.
  • Maintain records, prepare forms, verify information, and resolve routine problems. Compile and create logs as necessary for relevant tracking and metrics.
  • Monitor various calendars/deadlines and maintain reminders.
  • Enter data into Immigration Intake System.
  • Update employee records and job-related changes on a mass and individual basis as needed.
  • Gather information for job postings/transfers/retirements/terminations/promotions/reclassifications. Ensure coordination of associated processes including access to systems/drives, email groups, keys.
  • Provide timely communication with Finance Staff and timely communication to Derm Communications group on employee newsletter.


  • Draft requests via Mpathways (PAR) for processing.
  • Serve as PCard Delegate, compile receipts, attach to report.
  • Create Purchase Orders and Non-Purchase Orders.
  • Process Tuition Reimbursement requests.

Compliance and Quality Improvement

  • Maintain knowledge of and adhere to University of Michigan policies and procedures.
  • Assist with the development of forms, policies, and procedures.
  • Responsible for researching issues that arise and escalating each accordingly based on defined criteria. Identify and handle critical requests of special circumstances quickly and accurately, communicating problems and barriers to supervisor.
  • Assist in evaluation of systems for process improvement.
  • Proactively seek and implement ways to make tasks more efficient and effective.


  • Provide backup administrative/financial support.
  • May be responsible for phases of projects, or for small projects.
  • Additional duties as assigned.

Required Qualifications*

Bachelor’s degree and 1+ years’ experience, or equivalent combination of education and experience. The successful candidate must be highly responsible, and have an extremely high level of attention to detail, while remaining flexible to incoming/changing requests, as well as having an extremely high level of integrity. Demonstrated ability to exercise considerable respect, discretion, and initiative in working with matters of a sensitive and confidential nature. Excellent written and verbal communication, and the ability to interact effectively with a diverse faculty and staff. Ability to utilize data management systems, tracking/logging systems, manipulate spreadsheets, and utilize information technology. Willingness to deliver excellent customer service. Proficient in Microsoft Office, willing to learn and adapt to new technology. Ability to work independently.

Desired Qualifications*

  • Experience in a professional office setting, requiring confidentiality, timeliness, organization, and precision.
  • Familiarity with administrative processes, procedures, and systems at the University of Michigan.
