Job Summary

Frontline interaction with patients and families performing clerical functions in a busy outpatient specialty clinic setting The Geriatrics Center.


Schedule new and return patient visits determining appropriate clinic provider based on specified standards in a multi-clinic environment (primary care and specialties). Establish and maintain a liaison of direct contact with faculty and fellows regarding their clinic schedules. Determine the existence of previous registration and obtain, verify and update insurance, financial and demographic information with the patient. Confirm, notify and initiate reminder calls to patients regarding their appointment and/or changes. Inform patients of necessary preparations prior to visit or test in accordance with established guidelines. Obtain managed care referral and/or authorization. Maintain and tabulate clinic data as needed. Provide information to patient regarding billing procedures.

Primary duties: (check out) schedule appointments for patients in Geriatrics or in other clinics/facilities following provider instructions. Fax forms to other clinics/departments as required, and enter in imaging system. Receive and process payments for co-pays, visit-related payments, or account balances. Provide directions/instructions/preps as appropriate. Enter visit charges into billing system. Initiate calls to remind patients of upcoming appointments.

Other duties: (check in) greet and arrive patients as they present for their appointments, and prepare forms for providers. Give guidance in completing paperwork or in updating insurance and demographic information. Provide directions/information to patients and caregivers as requested.

Other duties: (Call Center) Triage patient calls to clinic nurses/providers via phone / MiChart notification.

Required Qualifications*

  • High School Diploma or GED
  • 0-2 years of experience
  • Must be able to work well in a team setting
  • Must have excellent communications skills
  • Strong interpersonal and organizational skills
  • Must demonstrate excellent customer service skills and strong ability to handle multiple tasks. 
  • Good attendance record. 
  • Demonstrated active listening, written, verbal and information techology skills. 

Desired Qualifications*

  • Knowledge of University policies and procedures
  • Experience working within a large, complex heath care setting
  • Familiarity with UMHS electronic medical record systems
  • Recent experience in an inpatient and/or outpatient setting. 

Work Schedule

Appointments: 40 hours/week

Shift/Hours/Days: Days / Monday – Friday Hours may vary 8:00 am - 6:00 pm and some Saturday morning clinics 8:00 – 12:00
