Job Summary

Responsibilities*

Work collaboratively with patients and families, surgeons, clinical care coordinators, and administrative support staff to provide complex preoperative testing coordination, surgery scheduling and postoperative appointments within Vascular Surgery. Provide flexible support to reschedule appointments and surgeries as required to accommodate urgent/ emergent cases. Assist nursing team to ensure appropriate medical records preparation for new patients referred to Vascular Surgery and overall clinic preparation. Maintain responsibilities for all provider MiChart grids including opening / closing / changing as directed by the clinical and administrative team.

Schedule surgical procedures for multiple surgeons. Cancel and reschedule OR cases as needed. Coordinate surgery cases with other surgical services. Schedule pre and post-operative appointments, as well as specialty testing. Confirm/verify OR cases with the appropriate operating rooms on a daily basis and maintain a surgery calendar. Communicate with the patient to confirm OR dates and times.

Provide diagnosis and/or procedure codes to obtain approval for surgery. Obtain proper insurance address and documentation requirements for the letter of medical necessity to be sent to the insurance company as needed.

Enter OP Surgery authorizations in CCC/Star Authorization Model. Track pending authorizations. Maintain files on these cases until approved or denied. When warranted, provide fees for patients with no insurance or no insurance authorization.

Relinquish OR time if surgeon does not have cases to fill the rooms. Utilize available OR rooms for other dedicated surgeons with OR cases needing OR availability.

Provide back-up support to the Vascular Surgery schedulers when needed.

General supervision is received from the CVC Clinic Clerical Supervisor. Functional supervision from the Lead Surgery Scheduler and Vascular Surgery faculty/nursing staff. Staff members in this classification are expected to exercise judgment in identifying problems, seeking and implementing solutions.

Required Qualifications*

  • High School diploma or GED is necessary.
  • This position requires excellent customer service skills to patient, families, faculty, staff and peers.
  • All candidates must demonstrate a positive and professional attitude, providing outstanding customer service in all interactions.
  • Must be a team player with ability to receive direction and communicate with patients / families, and staff courteously and respectfully at all times.
  • Must be detail-oriented, have ability to multi-task and work in a high volume area.
  • Demonstrated effective verbal and written communication skills.
  • Excellent computer skills in many applications in addition to experience in a medical office / outpatient practice.
  • Requires flexibility in all aspects of work assignments.
  • Adherence to the CVC clerical uniform policy is required when in Clinic.
  • 3-4 years of experience.
  • Knowledge of basic medical terminology.
  • Exceptional interpersonal skills.
  • Prior experience performing complex scheduling.
  • Familiarity with obtaining medical records or professional medical billing.
  • Financial Counseling experience for healthcare patients.
  • Demonstrated active listening, written, verbal, and information technology skills.

Desired Qualifications*

  • Knowledge of check-in and check-out utilizing EPIC (Cadence) scheduling system and outpatient billing system.
  • Previous experience in a multidisciplinary clinic and/or surgical clinic is desired.
  • Demonstrated proficiency with Careweb, EPIC (MiChart), Outlook email, ORMIS and ability to navigate between systems.
  • Experience working within a large, complex health care setting.
  • Familiarity with Michigan Medicine electronic medical record systems.
  • Knowledge of university policies & procedures.
