Job Summary

Responsible for the development, forecasting and monitoring of the Health Information Management (HIM) budget as it relates to payroll, commodities, capital, contracts and expenditures in consultation with the HIM Leadership Team. Conduct financial analyses on HIM budget, operating expenses, trends, variances, transactions, invoicing and vendor payments, and other financial activity in order to support decision-making and process improvement. Ensure all organizational requirements for financial performance reporting are met. Ensure accurate, compliant, and timely vendor and expense payments. Provide financial reporting and analysis to improve value and reduce waste. Act as a resource for financial information for HIM personnel. Provide access to and education for financial reports and applications for HIM leadership planning and use. Create and manage all departmental administrative and financial policies and procedures for optimal operation of the HIM department and compliance with all University and Michigan Medicine standards. Manage administrative assistant senior personnel.

Provide leadership, coordination, and communication for all facilities-related work impacting the HIM department as assigned. Coordinate with other departments in the building on facilities-related work.  



  • Interact with and advise HIM Leadership on best practices for unit and departmental financial performance,
  • Provide leadership and direction to the establishment and maintenance of all HIM financial activity policies and procedures including, but not limited to, budgeting, reporting, transactions, cash handling, travel and expense, P-card, and journal entries,
  • Provide leadership and direction to the establishment and maintenance of all HIM administrative policies including, but not limited to, Human Resources transactions, financial functions, dress code, time-off, and call-ins.
  • Ensure all HIM financial and administrative policies and procedures are current and compliant with University and Michigan Medicine standards.
  • Manage all HIM administration office functions and staff.
  • Serve as an authoritative source for financial policy and compliance information.
  • Participate in defining the strategic direction for HIM and consult on financial implications.
  • Implement and evaluate an effective plan for departmental changes and transitions. Identify future-driven strategies which are aligned with corporate goals.

  • Lead teams, committees, and special projects as assigned.
  • Provide leadership representation on institutional committees as it relates to activities and programs.
  • Identify and address change management issues related to the evolution of the health information and financial environments.


  • Analyze HIM financials, prepare financial reports, identify problems and trends, and make recommendations to HIM Leadership.
  • Examine financial information and advise unit leadership regarding financial reporting and cost containment strategies related to unit operations.
  • Create and maintain visual and interactive financial dashboards.
  • Monitor HIM departmental and unit-specific expenses on a monthly basis to determine spending patterns and appropriate expense allocation and billing. Ensure the HIM-LT has access to and an understanding of financial reports and analyses.
  • Work in partnership with HIM leadership to plan and coordinate financial contracts, reviewing and understanding the impact on HIM financials as well as any institutional implications.
  • Prepare financial forecasts for HIM leadership and Finance.
  • Maintain open communicate with Leadership on unit expenses, performance and cost savings measures.
  • Establish and maintain working relationships with HIM and external customers.
  • Provide access to and training on financial reporting applications.
  • Provide financial modeling as needed for departmental projects and budgets.
  • Assure HIM budgetary goals by reviewing/approving invoices for payment, reconcile departmental PCard expenses and usage on a monthly basis.
  • Monitor vendor expenses, identify trends and project future expenses associated with vendor activities. Work with the HIM-LT on cost reduction strategies. Ensure appropriate review and approval of all invoices for payment by the HIM-LT. Manage approval process for timely payment of invoices. Provide and communicate HIM leadership access to all vendor expenses, trends, and projections.
  • Communicate monthly financial summaries on unit and departmental expenses.
  • Represent HIM’s financial interest in all contract negotiations and provide financial analysis on all proposed HIM-vendor financial arrangements.
  • Manage and oversee proper handling of all checks, cash, gift cards, and other payments in HIM.
  • Coordinate department moves and special projects.
  • Process all capital equipment requests via the appropriate financial applications and monitor HIM expenses and balances.
  • Provide authorized signer authority as it relates to HIM security access for staff, vendors and outside auditors.


  • Develop and maintain professional relationships with colleagues and staff within the department and organization to promote mutual understanding and respect.
  • Work within the departments, across the organization, and with clinical and senior leadership to meet organizational goals.
  • Design requirements, criteria, and metrics to meet the end users’ needs for analysis and interpretation of financial statistics.

  • Anticipate potential areas of concern and initiate tracking procedures.
  • Lead multidisciplinary process improvement initiatives focused on identifying root causes and correcting improper or ineffective processes, improving compliance, and enhancing staff competency.


Direction is received from the Chief Administrator for HIM. This position has the authority to make independent decisions based on the issue and level of importance.


Functional and administrative supervision is exercised for Administrative Assistant Senior staff.

Required Qualifications*

  • A Bachelor’s degree in Finance, Accounting, Business Administration, HIM or related field.
  • Minimum of five years’ experience in financial analysis or accounting or an equivalent combination of experience.
  • Strong Microsoft Excel and Access skills. Considerable experience with Windows computer environment and proficiency with other Microsoft Office applications.
  • Exceptional analytical, verbal and written communication, computer, and interpersonal skills.
  • Strong presentation skills and a track record of ability to present to senior leadership.
  • Ability to create and run complex financial data queries.
  • Ability to interpret financial data, write reports, and effectively present financial data and analyses.
  • Knowledge of business and management principles as it relates to finance and strategic planning.
  • Demonstrated customer focus and the knowledge and skill to identify, meet, and evaluate customer expectations. Broad customer service experience.
  • Knowledge and experience in project management.
  • Skill and experience with influencing and facilitating staff behavior change.
  • Demonstrated leadership skill and training in Lean principles, practices, and methods.
  • Executive presence and experience that begets respect.
  • Ability to lead, manage, and mentor staff through complex work redesign efforts.
  • Logical, analytical, and organized with the ability to direct and reprioritize work quickly and efficiently.
  • Ability to work in a fast-paced environment under multiple pressures and deadlines.

Desired Qualifications*

  • Master’s degree in Finance, Accounting, Business Administration, or HIM-related field.
  • Previous experience in a complex financial/accounting environment.
  • Familiarity with UMHS financial systems including M-Pathways (PeopleSoft), Hyperion, Finance BI.
  • Some knowledge of University and departmental policies and procedures.
  • Experience with Tableau.
  • Experience working in HIM, Compliance, IT, OGC, or other healthcare administrative/business unit.
