Job Summary

The Donor Relations and Stewardship Assistant is responsible for gift acknowledgement communications including writing, generating, and sending acknowledgement letters, quickly and accurately entering gifts into the gift log, and following department procedures for communicating these gifts to affected parties on campus. Exceptional attention to detail and accuracy is required to maintain high quality donor relations. This position will also be responsible for existing donor recognition programs and events and proactively seek new forms of recognition that are meaningful to donors. This position will partner with financial aid to ensure the accurate administration of scholarship recognition reports and other tasks related to scholarship donors’ recognition. The entire focus of this position is to make donors feel valued increasing their likelihood of making new gifts.

Responsibilities*

Stewardship functions

  • Promptly and accurately enter gifts in the gift log system ensuring accuracy as to donor, amount of gift and the gift’s designation.

  • Process checks, credit card transactions, gifts of securities, and gifts in kind.

  • Prepare appropriate reports for reconciliation of gifts.

  • Write acknowledgement letters to be signed by the appropriate individual(s) and continuously update content of these letters to ensure fresh and meaningful messaging.

  • Work with gift officers and leadership to administer and contribute to the creation of individualized stewardship plans for leadership donors. Enter such plans into DART system.

  • Update constituent records in DART ensuring accuracy.

  • Ensure Flint campus operates in compliance with University of Michigan Stewardship Guidelines.

  • Represent UM Flint at Stewardship Forum and other Office of University Development activities as requested.

Donor relations functions

  • Manage scholarship donor relations including but not limited to annual report of scholarship activity in collaboration with appropriate financial aid and financial office staff.

  • Design annual scholarship donor event(s) collaborating with appropriate department staff to execute.

  • Operate in complete confidentiality protecting the interests of the donor and UM–Flint.

  • Provide advice to department on new donor relations initiatives campus-wide and/or unique to Flint campus.

  • Act as key support person for campaign committee at their meetings.

  • Remain current on best practices in donor relations and stewardship.

Administrative support

  • Participate in and support development events as assigned.

  • Establish new funds and process them through established University procedures.

  • Manage endowment and endowed gift reporting. Produce other tracking and progress reports as requested by Director of Development.

  • Provide back up to Advancement Assistants.

  • Other duties as assigned.

 

Required Qualifications*

  • Bachelor’s degree.

  • One to three years relevant experience in an office environment.

  • Demonstrated competence in complying with detailed and complex rules and regulations.

  • High level of comfort when dealing with individuals and their money, and an ability to maintain discretion and confidentiality when dealing with these individuals.

  • Self-motivated, organized, detail oriented, and highly dependable worker.

  • Understanding of and passion for the mission, vision, and values of UM–Flint.

  • Ability to work flexible hours, including occasional weekend and evening hours.

  • Excellent knowledge of Microsoft Office Suite products including Word, Excel, and PowerPoint.

Desired Qualifications*

More than three years experience in an office environment preferred
