Job Summary

Manage the administrative operations of the Aerospace Engineering Department (AERO) including budget, accounting, human resources, student services, research administration, information technology and facilities; assist the chair in planning and management.

Responsibilities*

Manage the departmental operating budgets including planning, allocations, authorization of expenditures, and monthly reconciliations.  Provide reports and analyses to the chair for assistance in planning and development.  Advise chair and faculty regarding University and College policies on financial operations.

Supervise and monitor all other Departmental funds, including sponsored, gift, designated, equipment, and recharge funds; authorize expenditures and monitor reconciliation.  Serve on Financial Aid Committee, advising on resources, allocations and distributions.  Oversee sponsored projects process (proposal preparation through closeout).

Supervise office staff, coordination of major Departmental functions (e.g. bookkeeping, student services, sponsored project administration, facilities, etc.); make hiring decisions, assess performance, recommend salary adjustments, etc.; develop and implement staffing plans.

Oversee human resources specialist for the Department; provide expertise to faculty and staff regarding employee rights, benefits and responsibilities; coordinate hiring, performance evaluations, timekeeping, etc. for all non-academic staff in the Department; process all human resources appointments and appointment changes.

Oversee facilities operations; participate in planning and decision-making regarding renovations and improvements; authorize furniture and equipment expenditures; complete quarterly space inventory surveys.

Represent the Department to the College, to other administrators, and to other University units with authority to make commitments regarding finances and administrative policies and procedures.

Perform other job related duties as assigned.

Required Qualifications*

Bachelor’s degree or equivalent combination of education and experience.  Four-five years of experience in a management/administrative role.  Proven expertise working with spreadsheets and databases.  Demonstrated excellent organizational, critical thinking, and analytical skills.  Demonstrated ability to communicate well and to work collaboratively and diplomatically with others.  Experience with the University’s financial systems, including sponsored programs.  Reasonable knowledge of University policies and procedures, including those regarding human resources, financial management, procurement, travel, facilities, student services, etc.
