Responsibilities*

  • Maintain calendars, schedule meetings, conferences, and other appointment/engagements for select faculty as requested, including MPlan, Patient Safety, CLA/BSI, quarterly NP nurse meetings, etc.
  • Maintain PHO/BMT Outlook absence calendar
  • Schedule visitor itineraries and process expense reimbursements/honorarium payments as needed
  • Prepare/maintain attending/on call schedule
  • Coordinate travel arrangements and process reimbursements for select faculty and visitors through the Concur system, including Toledo outreach
  • Reconcile monthly PCard, process as needed, PO/Non-PO vouchers, hosting reports, using existing University/Pediatric Department purchasing systems
  • Produce documents such as scientific manuscripts and reports, including complex tables, charts and graphs, EndNote updates
  • Produce graphics and slide presentations using PowerPoint
  • Assist with special projects and serve as back up to other divisional support personnel as needed

Required Qualifications*

  • A high school diploma, including courses in administrative assistant practices, word processing, bookkeeping or office procedures or an equivalent combination of education and experience 
  • Two to four years of highly responsible secretarial/administrative experience
  • Excellent interpersonal and organizational skills
  • Ability to exercise good judgment and work independently or as a member of our team
  • Excellent computer skills, including PowerPoint, End Note, Microsoft Office

Desired Qualifications*

  • At least one-year administrative experience in a hospital or clinical setting
  • Considerable knowledge of medical terminology
  • Reasonable knowledge of University Hospital policies, procedures, and systems
  • Strong project management skills and working knowledge in management systems
