Responsibilities*

Performs reception functions (office greetings, answer phones, screen calls, take messages, etc.) and other general office functions (filing, copies, errands, small projects, maintaining faculty and staff listservs and the SHPS website). Creates a professional and welcoming environment, providing excellent customer service with an appropriate sense of urgency.

Provides direct support to the new program/department directors (when they join the team) until their offices are established; including, but not limited to, scheduling meetings and appointments, coordinating travel arrangements and providing assistance in meeting preparation.

Performs day-to-day and monthly budget functions in support of the Business Manager. This includes, but is not limited to, reconciling purchasing cards (pcards - credit cards), ordering, printing reports, and monthly accounts reconciling. These duties will be conducted under the supervision of the Business Manager.

Supports the Health Affairs and Research Committees for meeting scheduling and assistance with minutes and small projects.

Supports the Tenure and Promotion process under the supervision of the Assistant to the Dean; creating documents and coordinating the process according to University of Michigan processes and standards. 

Required Qualifications*

Bachelor’s degree or equivalent

4-5 years of related experience

Expertise with MS Office Suite, specifically Word, Excel, Power Point, and Outlook.

Ability to work efficiently and accurately; independently and as a team

Excellent customer service and communication skills (both written and verbal)

Critical thinking and great attention to detail

Ability to work with changing priorities

Works well under pressure while keeping track of numerous on-going assignments

Savvy regarding office technology and time savings/management skills

Demonstrates a willingness and desire to learn new skills

Conducts self with a positive attitude of service

Desired Qualifications*

Budget experience

Drupal web experience

Experience with University of Michigan Wolverine Access

Knowledge of University of Michigan policies and procedures
