Job Summary

This position will report to the Associate Chief Nursing Officer (ACNO) of Children’s and Women’s Hospitals. The Administrative Assistant Senior must exercise considerable discretion and independent judgment and possess highly developed organizational and communication skills, along with a commitment to UMHS core values, including service excellence.

Responsibilities*

Process payroll for CW Nursing and Midwives

Serve as departmental liaison for HR functions, posting positions, handling hiring paperwork, processing effort changes, leaves of absence, FMLAs, etc.

Great attention to detail and the ability to prioritize and meet deadlines in a timely fashion

Should be familiar with Nursing One Staff Payroll and Scheduling

Should be familiar with Outlook Calendar Scheduling

Prepare spreadsheets, organize data, and track information using Excel

Assist by monitoring reports, compiling summaries and drawing attention to important trends or issues

Monitor department budget and oversee unit gift accounts

Coordinate the agenda and prepare minutes for staff meetings

Assist in planning departmental events

Deposit gift account funds received by the department

Maintain email distribution lists and monitor and grant access to departmental files

Maintain and monitor blue folders

Reconcile department PCard

Provide backup support to other department administrative assistants

Maintain filing

Assist with departmental correspondence and communications as needed

Special assignments and projects as needed

May coordinate travel and conference arrangements for the ACNO and other Nursing personnel, including preparation of Concur expense reports.

Review Concur expense reports for completeness and appropriateness prior to ACNO approval

Other duties as assigned

Required Qualifications*

High School diploma with considerable progressive administrative assistant experience

Two to four years of experience in a similar position

Previous payroll experience

Excellent computer skills

Proficiency in Microsoft Word, Excel, PowerPoint, Outlook and One Staff

Excellent verbal and written communication skills

Strong organizational skills and ability to multI-task

Attention to detail is essential

Excellent interpersonal skills

Ability to work independently with minimal supervision and as part of a team

Desired Qualifications*

Associate Degree
 

Bachelor's Degree


Accounting background


Familiarity with Wolverine Access, MPathways and University purchasing procedures


Knowledge of University policies and procedures

Work Schedule

40 hours per week, 7:30 – 4:00 pm (preferred)
