Job Summary

Perform a full range of high level administrative support for Chief Department Administrator and back-up support for 3 Operational Directors, HR Business Partner, Facilities Director and Executive Assistant.

This position requires confidentiality in all communications.

Responsibilities*

  • Daily calendar maintenance for Chief Dept Administrator

  • Coordinates New Employee Orientation

  • Meeting room & Department resource coordination

  • Coordinates travel, processes reimbursement in Concur

  • Facilitates Employee Recognition programs

  • Meeting organization, minutes, agendas, guest speaker hosting & preparation of advanced PowerPoint presentations/multi-media

  • Maintains Service Contracts for Copiers/Faxes

  • Serve as Flu/TB Liaison & other mandatories compliance

  • Aids in Department social functions; retirements, celebrations, annual gift distribution, etc.

  • Distribution of parking passes/business passes

  • Distribution of Departmental Gift Certificates (PAT Awards)

  • Provide backup administrative support to Facilities team, which includes meeting coordination/scheduling

  • Purchasing/ordering– attention to detail and pride in work to ensure accuracy are a must

  • Ability to multitask in a team environment.

  • Must be able to prioritize tasks that will change on a daily basis

Desired Qualifications*

  • Bachelor’s Degree

  • Experience with Microsoft Office Applications, Wolverine Access applications such as, Market site and Concur, comfortable learning new technology/business software and able to adapt as systems evolve

  • Lean/Process Improvement Training

  • Executive presence, high level of interpersonal and communication skills required along with the ability to problem solve issues without direct supervision
