The Department of Emergency Medicine is seeking highly motivated candidates to join our team as an Administrative Specialist Associate. This is an excellent opportunity for experienced staff to advance their career. The position will join a growing team of Education Professionals supporting Emergency Medicine education programs at UM and St Joseph's Mercy Hospital. Under the administrative direction of the Director, Education Operations, the administrative specialist associate will provide administrative support for education faculty; including general administrative assistance, travel arrangements and travel expense reports. Assist with day to day operations of the Emergency Medicine residency program (60+ residents) in a fast paced, busy environment.

Assign resident parking monthly
Process Meal Money Monthly
Verifications of training
Input Residency EVUs
Assist w/residency recruitment, prepare folders, swag, badges
Organize agenda/minutes for Residency Committee
Organize Survival Flight training and suits
Administer American Board of Emergency Medicine In-Training Exam
Track and notify resident of MLearning compliance needs
Draft procedure letters to notify residents of deficiencies w/ ACGME requirements
Process House Officer moonlighting for GME approval
Prepare and disseminate patient counts for UM and SJMH
Coordinate Graduation: plaque orders, name plates, RSVP, place cards, gifts, golden apple awards,etc.
Coordination of residency Cadaver Labs and Clinical Skills Oral exams (**Raven retains simulation)
Assign and collecting Clinical Skills and Teaching Skills Assessments
Draft notifications for low conference attendance
Concur residency leadership/administrators/chief residents
Create/distribute residency newsletter
Make travel arrangements
Maintenance of Residency Library
Update CVs/bio sketches
Complex calendar/ schedule management

Bachelor's degree or equivalent combination of education and experience; 5+ years of progressive administrative experience. Ability to work independently and work well with faculty and peers. Excellent computer skills. Good organizational; and communication skills. Perform with a very high degree of accuracy, attention to detail and confidentiality. Outstanding punctuation, spelling, grammar, proofreading, editing and formatting skills are required. Excellent knowledge of electronic calendaring. Must be able to work with little or no supervision. Must be able to prioritize workload and maintain focused work in a high volume, deadline-driven environment. Exceptional verbal and written communication skills are required, as is the ability to work cooperative with individuals form a variety of professional and non-professional backgrounds. Demonstrated ability to handle multiple tasks, set priorities and work to meet deadlines with frequent interruptions.
Experience with PCards, e-reconcile, concur and business objects.
Knowledge of UM and GME policies and procedures preferred.
Previous MedHub experience preferred.
