Job Summary

The Department of Biomedical Engineering (BME), a department with growing instructional, research, and scholarly activities in both the College of Engineering and the Medical School, seeks to hire an Administrative Assistant Intermediate to serve the general support needs of its faculty, staff, and students located in a variety of buildings across the Michigan Medicine and College of Engineering footprint. 


Core functions will include support in reception, procurement, meeting and event planning, timekeeping, and other general administrative (GA) support.  A key function of this duty will be the provision of complex procurement support services to assigned faculty, staff, and students, with knowledge of university stewardship principles in procurement and diligence toward best practices.  The incumbent will become expert in securing bids, assuring proper vendors and contractors, and providing complete documentation for timely transaction processing for assigned faculty research laboratories and departmental customers.  In addition to procurement services, the GA will provide support in travel and expense reimbursement for assigned customers.

General administrative support will also include meeting and event planning, facility and conference room scheduling, delivery and handling of materials and goods, and providing administrative support for various faculty for their instructional activities. 

The candidate for this position will monitor and liaise effective time reporting for assigned customers and their staff, and assure full approval by supervisors in accordance with department and school/college guidelines and policy.  Related duties will include review of submitted time against payroll journals in support of financial stewardship, and initiation of timekeeping and payroll corrections as needed.

Required Qualifications*

This position requires a high school diploma plus 2 to 4 years of experience in a related area in administration, including general clerical, procurement, and/or meeting and event planning experience. 

Desired Qualifications*

Associates degree plus 2-4 years of office-related experience.  Experience providing a broad range of general support to a diverse constituency.  Demonstrated excellent oral and written communication skills.  Experience using Microsoft suite, and familiarity with university procurement and timekeeping systems.    Superb dependability and reliability, and a customer-serving spirit is key.  Familiarity with university travel/expense, and procurement policies and procedures, as well as payroll and timekeeping processes, is highly desired.
