The Gerald R. Ford School of Public Policy is seeking a creative, energetic team member to serve as our School Registrar and be responsible for the management and coordination of the Ford School course schedule, registration, degree audit, records, enrollment data reporting and teaching evaluation processes.

Registration and Records 
Manage student records information and provide data analysis to academic and administrative offices; provide effective service to students and faculty as it pertains to registration and grade-reporting and collection; manage course waitlists and process registration overrides; file PhD candidacy and dissertation committee requests with Rackham; monitor academic progress to ensure all students are making satisfactory progress toward degree; verify completion of graduation requirements and manage graduation listing; responsible for enrollment reporting, including the University official counts and ad hoc requests from dean/associate dean/director; record and process waiver requests, BA minors and transfer credit requests; maintain accuracy, integrity, and security of all student academic records. Create and manage student cohort email lists. 

Monitor compliance with FERPA and any other relevant laws and/or university policies. 

Course Development, Scheduling and Data Management 
Direct the development and organization of school-wide class schedules for upcoming semesters, working closely with faculty, the Associate Dean and HR Manager to gather and organize faculty teaching assignments. Participate in GSI hiring and orientation processes; organize the evaluation process for faculty and GSIs, including the organization and submission of evaluation forms. Organize student coursemart event once each semester; collect and post syllabi to web/cTools. Provide support for curricular changes such as new courses, changed courses or cross-listed courses. Maintain school master course database and provide course enrollment data and other related data to the Associate Dean and other constituents as needed.  Provide support to the Master’s Program Committee and/or any other committees as assigned.  

Student Data Management
Update and maintain student database systems, including capturing, loading, storing and extracting student data for analysis; manage all Student and Academic Services data reports; create/revise help pages for users of student databases.  

Collaborate with the school’s BI Analyst on data projects where appropriate.  Collaborate with Ford School recruiting staff on running reports of prospective student data using our CRM.

Provide guidance to students relating to graduation policies, academic requirements, registration and enrollment.  Collaborate with the academic advisor/counselor to ensure student records are complete and accurate.

Fellowship Support 
Provide administrative support to the Student Administration Manager, which may include compiling prospective student application materials and fellowship application materials for review; entering and submitting nomination materials; and building financial aid item types (FAITs) for financial award posting.  

Required Qualifications*

A bachelor’s degree  and at least one year of related experience within higher education or equivalent combination of relevant education and experience  that will enable the performance of all aspects of this position.  

Proficiency with Microsoft Office Suite Products and advanced experience with managing data in complex databases and spread sheets, including ability to perform computer data entry with a high degree of speed and accuracy.

Experience with data reporting in various query tools (Business Objects, Brio, or similar software).

Excellent verbal and written communication skills; including the ability and commitment to working with a diverse community of students, faculty, staff and visitors of the Ford School and the University of Michigan.

Demonstrated ability to exercise initiative, tact and diplomacy, and a positive service oriented attitude.

Strong attention to detail and the ability to understand and adhere with all compliance regulations.

Ability to work independently and as part of a team. 

Proven ability to set priorities and accomplish major tasks in a timely and accurate fashion.

Demonstrated problem solving skills with a customer centered focus. 

Desired Qualifications*

Experience with M Pathways student systems (or similar enterprise software experience) and Qualtrics.

Experience researching and developing queries to extract data from enterprise databases. 

Experience using Salesforce data management software, or other CRM system.

Knowledge and understanding of U-M policies and procedures and FERPA regulations.
