Job Summary

This is a full-time position (M-F) that will provide support for the medical education programs in the Division of Pediatric Education.   

Hours for this position are 7:30 a.m.-4:00 p.m.

(Hours are 7:00-3:30 p.m. during residency recruitment-October-January)

Responsibilities*

Support for the Pediatric Residency Program and assistance for the Program Director and Residency Coordinators with all aspects of the Pediatric Residency Program.  The responsibilities will include tasks that support the day-to- day operations of the residency program, including manage the resident conference schedule, order food for conferences, conference set up/clean-up, track conference attendance and evaluation, link resident and faculty evaluations, track evaluations, schedule various meetings, order supplies, prepare monthly rotation mileage reimbursement and assist with the daily tasks associated with our annual resident recruiting.

Support for the Pediatric Medical Student Clerkship and the Assistant Clerkship Coordinator with all aspects of Medical Student Education in Pediatrics. Serve as administrative support to the Clerkship Coordinator of Pediatric Education while performing a variety of professional and administrative duties in support of the day-to-day operations of the Pediatric Clerkship.  The responsibilities will include the coordination of various meetings, preparation of correspondence, assist with visiting students, create student schedules, prepare orientation materials, oversee the evaluation process and schedule various conferences.

Required Qualifications*

  • Requires a college degree or equivalent combination of training and experience.
  • Ability to analyze, compare and evaluate various courses of action and make independent decisions on matters of significance
  • Ability to perform primary activities and decision making independently to matters affecting business operations to a substantial degree.
  • Ability to problem solve, provide attention to detail and provide exceptional follow-up
  • Must have proven database management skills
  • Ability to work with a wide variety of personnel

  • Three to five years of highly responsible secretarial/administrative experience

  • Reasonable knowledge of University Health System policies and procedures
  • Knowledge of Concur, Marketsite, and MedHub
