Job Summary

The basic function and responsibility of the Business Systems Analyst Associate is, under the general direction of the Business Systems Analyst Senior, to accurately and efficiently process gifts according to established procedures, provide related gift reports as needed to departments, Advancement staff and other entities, and to document procedures for audit purposes and training.  The salary range for this position is from $46,000 to $51,000.


Gifts and Records Administration

  • Prepare gifts and non-gift payments for deposit per established practices.
  • Assist BSA Senior with submitting of new gift accounts requests.
  • Submit and reconcile gift transfers.
  • Review, route and mail monthly pledge reminders.
  • Complete the acknowledgement data batch as prepared by the Business Systems Analyst Senior, then review, route and mail acknowledgement letters per established procedures.
  • Assist with routing gift agreements for signatures per established procedures.
  • Participate in gift triage, hold file review and related team meetings

Gift Reporting

  • Assist the Business Systems Analyst Senior in the following tasks: Analyze business needs of the Office of Advancement and develop reporting systems to increase the value of institutional information for management and decision-making. Assist with research, development, modification and maintenance of information systems that support gift and related development processes for leveraging technology and software capabilities and improving accuracy and efficiency.  Help develop and maintain queries to provide data-driven gift reports including but not limited to: reporting of daily reports, semi-annual outstanding pledges, and financial activity; prepare analysis on a routine and ad hoc basis. Advise Advancement and College departments doing similar analyses.
  • Work independently and in collaboration with Advancement colleagues to leverage technology and software capabilities to increase efficiencies of existing gift reports and databases including but no limited to: Accounts Database, Benefits Table, Preferred Names Table.
  • Work with Report Writer (TBD), as needed, to modify reports as new needs arise.
  • Create and distribute marketing efforts and memorial reports as requested.


  • Serve as primary contact for updating of alumni records, contact preferences and mailing list removals.
  • Document all relevant new procedures and update current procedures as directed.
  • Participate in special projects (C-Level Engineering Alumni List) as assigned.
  • Participate as a member of the Advancement Data Community and other special projects and teams as assigned.
  • Additional duties as assigned or required.


Required Qualifications*

  • Experience with gift processing and gift handling
  • Experience with DART
  • Experience with the PC and relevant software applications, especially Microsoft Office (Access, Excel, Word) and Filemaker Pro
  • Outstanding proofreading skills and attention to detail, especially with regard to established processes.
  • Strong self-organization, analytical, problem-solving and systems-thinking skills
  • Solid communication and interpersonal skills
  • Flexibility to work independently or as a team member in a fast-paced environment subject to changing priorities and regular time-critical deadlines
  • Proven ability to schedule work, meet deadlines and provide excellent customer service under time pressure.
