Job Summary

The Department of Internal Medicine, Division of Genetic Medicine is looking for a qualified candidate for the position of Administrative Specialist Associate. This position will support the Division Chief for Division of Genetic Medicine (DGM) formerly known as Molecular Medicine and Genetics (MMG.) The candidate must exercise considerable discretion, independent judgment and possess highly developed organizational and communication skills, along with a commitment to UMHS core values, including service excellence.

Responsibilities*

  • Provide administrative support to the Division Chief, and his lab
  • Assist with grant preparation and applications
  • Assist in preparing research papers and manuscripts for publications
  • Manage complex calendars using MS Outlook
  • Schedule cross site and international meetings and teleconferences
  • Coordinate travel (including international travel) and prepare travel itineraries
  • Prepare and send correspondence on behalf of the Division Chief
  • Maintain curriculum vitae (CV) in M-CV and NIH Biosketches
  • Reconcile P-cards and prepare travel and hosting expense reports in Concur.
  • Maintain absence records for Division chief and his lab staff
  • Create forms, excel spreadsheets, and power point presentations as needed
  • Prepare and proofread various documents
  • Coordinate faculty and staff recruitment
  • Plan and assist in setting up scientific speaker conferences and lab meetings in the division
  • Screen and route telephone calls
  • Provide coverage for peers as needed.

Required Qualifications*

  • Grant preparation experience
  • Ability to organize and coordinate a diverse workload with attention to detail, and meet deadlines in a timely manner while demonstrating flexibility when priorities change
  • Demonstrated capacity to exercise initiative, diplomacy and confidentiality with a positive service-minded approach
  • Ability to think ahead, take personal initiative, work both independently as well as part of a well-coordinated team
  • Computer skills including proficiency in Microsoft Word, Excel, Access, EndNote, Adobe, and/or other database software
  • Excellent written, verbal, and interpersonal skills

Desired Qualifications*

  • Bachelor’s degree or equivalent experience
  • Experience with PubMed, eResearch
  • Medical and scientific terminology knowledge
  • Experience in P-Card reconciliation in Concur

Work Schedule

Appointment: 40 hours/week

Shift/Hours/Days: Days / 7:30 am – 4:30 pm or 8:00 am – 5:00 pm / Monday - Friday
