This position will provide responsible and complex administrative support to the Department of Communication. We work with key leadership of Michigan Medicine which requires a professional demeanor in addition to a high-level of attention to detail.
Candidate will exercise initiative, independent judgment, diplomacy and a service-oriented attitude and the ability to prioritize and meet deadlines. The ability to work as part of a team is essential to the success of the person in this position.
Complex calendar and schedule management for Department Directors and staff requiring coordination with multiple individuals and departments. This includes exercising judgment on setting priorities for effective use of time and responding to frequent changes in schedules.
Ability to plan and coordinate internal and external events which may include hosting, distributing information, preparing copies and ensuring audio-visual equipment is operational.
Receiving and triaging telephone calls that often include local and national media. Builds and maintains solid customer relationships by handling their questions and concerns promptly and with professionalism.
Process high volume of vendor invoices in a timely manner using M-Pathways financials, Quote to Order and People Pay.
Coordinate travel arrangements and itineraries for department travelers. Reserve U-M fleet vehicles and arrange vehicle maintenance requirements with Transportation Department.
Process travel reimbursements and expense reports in Concur.
Purchasing card reconciliation in Concur for multiple cardholders.
Serve as Payroll expert for the department, advising on complicated time entry, holding knowledge of payroll policies and procedures, maintaining static groups and training new staff and payroll approvers. Run and review GPR in a timely manner and resolve issues promptly.
Assist with special administrative projects as requested.
Provide back-up support to other administrative staff as needed.
High school education or equivalent with 5 or more years’ experience required. Outstanding interpersonal and organizational skills. Must be punctual, reliable, with a history of excellent attendance.
Proven ability to prioritize, meet deadlines, work efficiently, and produce detailed and accurate work in a high volume, busy office setting with frequent interruptions.
Excellent computer skills including Microsoft Outlook, Word, Excel and PowerPoint. Ability to work well both independently and in collaboration as a team member. Demonstrated ability to treat confidential and sensitive information with discretion. Outstanding verbal and written communications skills. Ability to multi-task and work in a fast-paced environment. Ability to work with all levels of internal management and staff, as well as outside clients and vendors.
- Knowledge of University policies and procedures, U-M MarketSite, Concur, Quote to Order and M-Pathways.
- Reasonable knowledge of medical terminology.
- Fluency in languages other than English a plus.
The salary for this position will be based upon the selected candidate's education and experience.
