What high level skills will you demonstrate?

As a Clinic Lead you will assist in managing the day–to-day front end operations of the Comprehensive Musculoskeletal Center (CMC), which includes MedSport and Physical Medicine and Rehabilitation(PMR) physical therapy as well as provider clinics for Anesthesiology, Neurosurgery, Orthopaedic Surgery, Orthotic and Prosthetics, PM&R, Rheumatology and Wheelchair Seating. You will provide supervision to the clinic staff, and will be responsible for collaborating with all services in the CMC by managing and delegating the work of the medical assistants and other clinic staff, in addition to coordinating with the physicians, nurses and Advanced Practice Providers who provide care in the clinic.  You will have the primary responsibility of evaluating and coordinating the workflow, and overseeing the activity of the clinic, while providing excellent customer service to the patients that are seen in the clinic.  We want you to create an atmosphere of communication, team work, efficiency through use of lean principles and service excellence within the CMC suite and to the patients we serve. In addition to these stills, we will also ask you to:

  • Coordinate clinic staff work schedule to support clinic activity levels.  Identify and resolve any operational problems that may occur concerning patient flow, medical information, clinic scheduling and staffing. 
  • Effectively communicate with all staff at monthly meetings to provide direction, generate staff and clinic goals, and resolve issues.
  • Provide training, monitoring and coaching to all clinic staff in the patient arrival processes, charge entry, appointment scheduling, insurance referral and authorization processes.
  • Collaborate closely with faculty, advance practice providers, and administrative staff
  • Work as a functional lead
  • Resolve staff shortage issues when unplanned absences or workload issues require additional help to ensure a smooth clinic operation.
  • Ensure maintenance of scheduling grids in MiChart and recommend changes to grids and scheduling processes to meet clinic activity.
  • Active involvement in Joint Commission readiness and ensure that clinic is in compliance with regulatory standards.
  • Create coordinated and standard work processes by generating and implementing lean principles in clinic. Make recommendations for changes in clinic operations as needed to better meet the needs of our patients.
  • Actively assist or lead in the development and execution of solutions to address patient access, and patient satisfaction goals.
  • Provide input and assistance on the annual evaluation process.

Required Qualifications*

  • High School Diploma or GED
  • Prior Medical Assistant experience and/or completion of a Medical Assistant Program
  • Minimum of 3 years’ experience working in a clinic setting; preferably with supervisory or lead experience.
  • Thorough knowledge of front end business operations including check-in and check-out.
  • Strong computer skills and experience using MiChart.

  • Bachelor Degree or an equivalent combination of education and experience
  • Knowledge of Hospital Datamart system and insurance payer systems (Web Denis, E-Referral).
  • Strong knowledge of insurance requirements, referrals and authorizations and billing requirements

Work Schedule

The facility is open 7:00 AM – 7:00 PM Monday through Friday, and 7:00 AM – 4:00 PM on Saturday. We are flexible in scheduling, and request that you are also flexible in working various shifts.

As part of the orientation training process, your training will be held at multiple locations during your first few months of the employment.
