Job Summary

The Division of Reproductive Endocrinology and Infertility is seeking a qualified candidate to provide a full range of administrative assistance and high-level support to the Division Chief.  The qualified candidate will provide comprehensive support services for the daily operations which include, but are not limited to, the following: 
  • Maintain Chief’s calendar in Microsoft Outlook and facilitate timely schedule
  • Make travel arrangements and itineraries for Chief, visiting speakers and faculty recruits
  • Ensure that documentation is up to date for international travel i.e. Visas, letters of invitation, etc.
  • Create and disseminate agendas for weekly division meetings
  • Plan annual Division Faculty Retreat and other special events hosted by the Chief
  • Work with division, department and Medical School to ensure departmental and school deadlines are met
  • Write memos and letters on behalf of the Division Chief
  • Manage, submit and track Chief’s expenses and reimbursements
  • Establish and maintain e-mail lists
  • Coordinate faculty evaluations
  • Maintain confidential documents; file, copy, scan, and mail documents and materials as needed
  • Transcribe dictated letters, manuscripts, grants and other deliverables
  • Oversee basic maintenance, service of and contracts for office equipment
  • Order necessary office supplies and equipment and draft routine correspondence
  • Assist other divisional faculty and staff as needed
  • Initiate and maintain paging services and maintain faculty absence data
  • Maintain curriculum vitae for faculty, including bio sketches
  • Set agendas, secure room reservations and catering for faculty events/meetings
  • Coordinate arrangements for on- and off-site meetings, trainings and conference calls
  • Prepare agendas, take detailed meeting minutes and distribute materials for various meetings
  • Organize, plan and conduct various events as requested
  • Help create and maintain REI’s orientation materials for new faculty
  • Provide support for the Division Chief’s research responsibilities, including the weekly onWHARD team meetings, basic science meetings, transcribing grants, etc.
  • Provide support for the Chief’s community outreach responsibilities including maintaining a database of community contacts, helping schedule community events, etc.

Required Qualifications*

Ability to organize and coordinate a diverse workload with attention to detail while meeting deadlines in a timely manner. Ability to demonstrate flexibility when priorities and deadlines change. Excellent writing skills required.  Capacity to exercise initiative, independent judgment, diplomacy, discretion and confidentiality with a positive, service-oriented attitude. Excellent organizational and interpersonal skills including the ability to work cooperatively with staff from various disciplines and backgrounds. Excellent computer skills with proficiency in MSWord, MS Outlook, PowerPoint, Adobe, EndNote, and Excel is essential.  

Desired Qualifications*

Knowledge of Medical School policies and procedures is desired. Experience with Concur, Wolverine Access, and CTools is preferred.  Professional experience working with faculty in an academic, clinical, or research setting is desired.  Previous progressively responsible administrative support experience is preferred.  Bachelor’s degree is desired or an equivalent combination of education and experience.
