Provide advanced, diversified, and confidential secretarial and administrative support to the department Chair and Oral & Maxillofacial Surgery Residency Program Director.
Maintain the Chair and Program Director's calendars,exercise discretion and judgment as needed to set priorities; schedule complex and routine meetings;prepare agendas, take minutes.
Organize and prepare background materials for meetings and send to meeting participants in advance, as appropriate.
Make travel arrangements for the Chair and Program Director; promptly prepare and submit travel expenses.
Hold a P-Card, work in M-Pathways to reconcile accounts and P-Card statements.
Draft emails, letters, memos, faxes,proposals, reports and other documents as required.
Organize and assist with special projects as directed by the Department Chair, Program Director,Department Administrator.
Serve as a liaison between the OMS/HD department and internal and external constituents;both national and global.
Serve as advocate for department publicity. Maintain contact with Michigan Multimedia and U-M Public Relations representatives to ensure OMS/HD website is maintained,artides and/or biogs are published that highlight department faculty achievements.
Assist in arranging schedules and draft itineraries for visitors and special guests. Prepare background material as needed.
Receive,greet, and appropriately respond to all scheduled and unscheduled visitors.
Arrange for catering for meetings and events,induding set-up and clean-up.
Provide administrative support to miscellaneous faculty as needed.
Other duties as assigned.
Education and experience: Associate's Degree and 4 years of successful administrative experience in a academic medical center.
Must possess a service oriented attitude, take initiative, work independently and follow through on multiple job responsibilities.
Excellent organizational skills and attention to detail; ability to multi-task and prioritize to meet deadlines.
Excellent communication and interpersonal skills; with knowledge and ability to exercise sound judgment.
The successful candidate must be customer-centered and team-oriented.
Demonstrated computer skills including Microsoft Office programs.
Candidate must possess an excellent attendance record.
Education and experience: Bachelor's Degree and 4 years of experience providing administrative support to faculty.
Understanding of University policies and procedures; experience with Outlook, Concur, M-Pathways, and MiChart.
Knowledge of medical terminology and previous experience with website maintenance.
This position is for the School of Dentisy, located at Towsley Center, in Ann Arbor.
