The vision of the Adolescent Health Initiative (AHI) is to transform the healthcare landscape to optimize adolescent and young adult health and well-being. We are looking for an Administrative Assistant to help us achieve this vision. This position will provide administrative support for AHI’s conferences, trainings, and events reaching a national audience of health care professionals and youth-serving organizations. The Administrative Assistant will assist with Call for Proposals, registration, tracking, ordering materials, and preparing event materials for the Annual Conference on Adolescent Health, provider trainings and Continuing Medical Education conferences, webinars, and other events. AHI will provide on-the-job training, but an ideal candidate should have relevant experience providing administrative support. The Administrative Assistant should possess strong organizational, communication, and customer services skills and enjoy working as part of a dynamic interdisciplinary team.
- Coordinate Call for Proposal and registration systems for conferences and events
- Assist with documentation and speaker agreements for conferences
- Coordinate travel, venue, and catering for events
- Prepare materials for trainings including trainee packets, nametags, and other event materials
- Assist with data entry
- Assist with marketing and event promotion
- Respond to email and phone requests regarding AHI’s programs and events
- Assist with purchasing, mailing, and department inventory
- Other duties as assigned
High school diploma or equivalent
Experience providing administrative support in a community-based organization, school, health department, or other health care setting
Demonstrated ability to meet deadlines and achieve project objectives
Demonstrated ability to work collaboratively as part of a team
Excellent communication and customer services skills
Bachelor’s degree in healthcare administration, marketing, communications, or related field
Experience with event or conference planning and execution
Experience with online survey software such as Qualtrics or Survey Monkey
Experience using project management software
Experience with website maintenance
Microsoft Office Suite expertise
