As part of the largest college at the University of Michigan, LSA Finance employs more than 80 employees who provide financial and research administration support to over 100 units. We are seeking an experienced professional to serve as the Business Office Manager for the Haven Hall Business office. This position will provide oversight, leadership, and be the content expert for financial and research administration operations for the faculty in the Social Sciences division. This will include support for pre- and post-award activities, financial activities, financial transaction processing, and research reporting and analysis. This individual will work directly with the LSA Senior Manager for Research Administration. The Business Office Manager must have excellent interpersonal skills to be able to partner with colleagues at all levels and within multiple university offices. This position requires a strategic focused proactive individual who will approach all responsibilities from a strong customer service perspective.
Oversee pre- and post-award processes within Haven Hall Business Office. Assign work to business office staff, ensuring they follow established procedures as they create budgets with an eye for accuracy and compliance with sponsor guidelines, prepare PAF's and obtain necessary signatures, submit proposals through appropriate channels (Fastlane,grants.gov,and internal funding request systems, etc.), and perform post-award management activities.
Oversee financial activities for Social Science faculty, coordinating with LSA Business Analysts as appropriate; including processing financial transactions, managing unit defined commitments, resolving billing issues, overseeing credit card payments, calculating and budget checking summer salaries, and ensuring salaries and effort are allocated appropriately.
Supervise business office staff. Work with Senior Manager for Research Administration to continue to grow research administration support for Social Science faculty and sustain a highly functioning business office. Hire staff and handle performance management. Determine workflow, ensure consistency in service delivery, accuracy of work, and effective procedures and communication. Provide guidance to staff in problem resolution.
Work closely with peer business office managers and under the direction of the Senior Manager of Research Administration, determine procedures and best business practices within the context of established LSA Finance procedures. Ensure that business office staff are trained and knowledgeable about processes.
Work closely with unit chief administrators and communicate about procedures or changes to processes. Oversee documentation of procedures and review of these processes for adequate controls and separation of duties. Conduct regular meetings with chief administrators and faculty to review reports and discuss research and financial issues or concerns.
Participate in LSA Finance business office managers group: attend meetings, assist with process development and special projects.
Bachelor’s degree or equivalent work experience. minimum of five years progressively responsible experience in research administration and finance, preferably in an academic setting. Direct experience with pre- and post- award activities. Ability to develop and implement procedures, map workflow, and document processes. Excellent communication skills, both verbal and written. Demonstrated competence in developing and refining reports, along with experience and detailed knowledge of transaction processing and general financial activities. Demonstrated experience coordinating multi-project financial reconciliation and analysis, with the ability to track financial activity and funding commitments across various sources and provide cumulative reporting. Demonstrated ability to work collaboratively with staff at all levels and with varying levels of research administration and financial knowledge; demonstrated ability to work under pressure of deadlines and competing priorities. demonstrated ability to work independently and as part of a team, ability to complete tasks in a timely manner and adaptive to a changing environment. Prior experience in functional or direct supervision of staff and the skills to effectively lead others and build a strong team. Track record in meeting high customer service standards and ability to motivate staff to do the same. Ability to interpret and apply guidelines and policies, including Uniform Guidance restrictions and University/LSA sponsored research policies.
Certified Research Administrator (CRA). Master’s degree. Knowledge of various federal and non-federal sponsors.
