Responsibilities*

Run and work weekly and monthly reports.  From one of these reports, call and schedule hygiene and D2 Foundation Clinic appointments for both prophy and restorative treatment, maintaining a balance between providers and patient load for these groups.  Support management of clinic chair utilization in VIC’s clinics exercising independent judgment and decision-making.  Enter appointment requests from D3 and D4 students and D2 students in the winter term.  Maintain clinic closure calendar.

Assist students with daily inquiries.  Verify students’ request for patient letters, create the letters and follow-up on patient responses.  Take calls regarding patient concerns and exercise judgment in triaging or resolving patient concerns as calls come in.  Confirm and update demographics in the electronic patient record.  Document telephone conversations in MiDent contact notes.  Maintain HIPAA compliance.

Provide office support by copying, filing documents, and distributing mail.   Schedule semester meetings between students, PCC, and clinic Director using Google Calendar.  Have the necessary reports available for discussion at these meetings.  Maintain office equipment and office supplies.  Assist student and faculty on the operation of copier, fax, printers, clinic computers, and translator phones. Provide coverage for co-workers, answer incoming phone line, and cover telephones for Office of Patient Services as requested.  Work with Dental Informatics or others on special projects as needed.  Record minutes for PCC and other meetings upon request.

Required Qualifications*

1-2 years previous administrative experience in an academic or medical setting. Must be proficient with computers and software (Word and Excel) and be able to learn new software quickly. Ability to follow instructions and communicate effectively. Must have excellent judgment and capability to act in a busy environment with numerous interruptions. Must be able to set priorities, exercise initiative, work simultaneously on numerous projects and meet deadlines to produce accurate results. Must be able to take direction from several different people and work effectively as a team member as well as independently. Excellent organizational skills and attention to detail are necessary. Positive customer service-oriented attitude, good attendance, and exemplary work ethic are essential.

Desired Qualifications*

Experience with Axium MiDent patient management system.  Knowledge of University of Michigan and School of Dentistry policies and procedures.
