Job Summary

We are looking to hire an Administrative Assistant Senior to provide administrative support to the Craniofacial Fellowship program, the T-32 training grant and several surgeons in Pediatric Plastic Surgery. The successful candidate will have strong organizational skills and an efficient work style along with excellent attention to detail, knowledge of current technology, and the ability to prioritize and meet deadlines. Discretion in handling sensitive and/or confidential matters is essential. We are seeking a candidate who can exercise initiative, be comfortable with independent judgment, have strong diplomatic skills, and has a service oriented attitude.

Duties include maintaining calendars, scheduling meetings and other appointments. Coordinate complex travel arrangements for domestic and international engagements and submit travel reports using the Concur system. Assist faculty with the completion of quarterly reports, re-credentialing, re-licensure and re-certification. Transcribe and edit all internal and external correspondence, manuscripts, grant applications and reviews using advanced medical terminology.

The person in this position works as part of an Administrative team on occasional large projects and events that impact the Section of Plastic Surgery.

Required Qualifications*

  • Associates degree or equivalent.
  • 4+ years of experience.
  • Proficiency in Word, Excel, Power Point and Filemaker Pro required.
  • Strong knowledge of medical terminology.
  •  

Desired Qualifications*

  • Bachelor's degree preferred. 
  • Three to five years of experience in an Administrative Assistant role preferred. 
  • Experience with administration of a T-32 training grant desired.  
  • Some experience with Fellowship programs would be a plus.

Work Schedule

Monday through Friday 8am - 5pm
