The Department of Industrial and Operations Engineering (IOE) at the University of Michigan College of Engineering is at the forefront of research using data science and analytics methods to improve industrial systems in business sectors including energy, healthcare, supply-chain logistics, and transportation.
The IOE Marketing Communications Specialist will be embedded in the department to find and tell stories of its world-class researchers, and spread the messages of the transformative work happening in the department to advance the common good. They will be responsible for coordinating, developing and maintaining a variety of communications and marketing platforms and products, including multimedia stories, websites, social media, presentations, events and print products. A few examples of the types of research in IOE are as follows: optimizing patient access to healthcare systems; predicting the impact of power outages from hurricanes; improving accessibility to public transportation for wheelchair/scooter riders; designing sustainable energy systems of the future.
They will work in collaboration with department and College staff, faculty and other marketing and communications professionals to craft and disseminate the strategic goals of the department. They are independently responsible for any departmental projects related to marketing and communications. This includes informing and educating faculty, staff, students, alumni and the general public outside the UM IOE community through publications, websites, social media and mass communication. They will assist the Department Chair, Unit Administrator and College Communications & Marketing team in determining marketing and promotional needs for the IOE department.
In consultation with the Department Chair, the IOE Marketing Communications Specialist will develop and execute a marketing and communications strategy. They will analyze, compare, and evaluate various courses of action, and have the authority to make independent decisions on matters of significance, free from immediate direction, within the scope of their responsibilities.
Communications/Marketing – 65%
Assist in developing a marketing and communications vision and strategy for the department that is consistent with and promotes the mission and goals of the department.
Serve as co-project manager for the IOE rebranding initiative.
Responsible for preparing, writing and reviewing communication materials (both print and digital) for a variety of media, including websites, newsletters, press releases, email, flyers, posters, social media platforms, and special projects.
Organize, execute, and distribute IOE communications by developing compelling content, such as in-depth stories, one-pagers, and more, that promotes IOE’s research, events, and efforts featured in the departmental website, newsletter, and other communications.
Manage multiple email marketing campaigns, including writing or reviewing messages, scheduling delivery, managing distribution lists and improving effectiveness through testing and other best practices.
Advise on, oversee, develop, and maintain the websites, social media, Internet resources, and communications strategies of IOE and select projects for faculty.
Perform market research to assist in the analysis of peer organizations.
Maintain an excellent knowledge of modern communication strategies, tools, and techniques that enhance the IOE website’s value.
Build relationships, and serve a liaison, with key partners/communicators, including media, advisory board, industry, and CoE Marketing & Communications, to plan and coordinate outreach related to the work of the IOE.
Support IOE alumni strategies and initiatives.
Develop and maintain databases for marketing initiatives.
Review design proofs and proofread written materials as needed.
Advertise special events and awards using multiple communication platforms to audiences both internal and external to the University.
Maintain database of promotional slides to promote IOE for faculty presentation use.
Administrative – 15%
Design and maintain photo directory of faculty, staff, and research fellows.
Track and maintain a list of student, faculty, and staff awards.
Prepare certificates for the graduate banquet and other awards as needed.
Manage IOE promotional and gift items – design, order, and stock.
Assist in organizing departmental events, as needed.
Work with vendors such as printers to request quotes and support production needs.
Multimedia – 15%
Maintain IOE YouTube channel by uploading and subtitling videos, etc.
Maintain IOE social media presence via Twitter and Facebook.
Provide guidance on social media platforms and best practices.
Provide on-site support at IOE events, including basic photography.
Maintain a database of photos.
Provide basic videography services for small projects.
Travel – 5%
Attend conferences as requested to capture interviews, awards, and IOE accomplishments for promotion.
Other duties as assigned.
Bachelor’s degree in Marketing, Communications, or related field and minimum of three years of experience in a marketing or communications position.
Experience developing or executing written communications such as articles, web copy or marketing/advertisements.
Experience developing or coordinating email marketing campaigns, with basic knowledge of HTML code and experience with email management tools such as MailChimp.
Commitment to creating and maintaining a positive, inclusive workplace.
Expert knowledge of technology and tools associated with communications, multimedia, digital collaboration and productivity tools, including website content management systems, Google Tools, PhotoShop, and Microsoft Office.
Must have strong verbal and written communication skills with demonstrated success in writing engaging content for general audiences.
Experience overseeing, developing and implementing websites and managing/growing audiences for social media.
Demonstrated ability to multi-task, take initiative, prioritize, delegate, and meet deadlines in a fast-paced environment while maintaining attention to detail and being organized and resourceful.
Ability to work well under the pressure of deadlines and changing priorities.
Ability to maintain confidentiality while working with highly sensitive information and use excellent judgment on a variety of sensitive subjects.
Superior interpersonal skills and a collaborative team player who places a high priority on internal and external customer service.
Experience interfacing with all levels of teammates/leaders across an organization.
Graphic design education and experience.
Scientific writing experience.
Experience working in an academic environment.
Work Schedule: M-F 8:00 – 5:00 pm with some flexibility needed for events occurring outside this normal range, including occasional weekends.
