Job Summary

Provide clinical support to nursing and clerical team managing incoming phone calls and patient requests, assisting in the prescription renewal process, communicating routine patient laboratory results, assisting in the completion of prior authorizations and other medically necessary forms, and assisting in the coordination of patient care plan and follow-up with referring physicians and their respective health care systems. 


  • Complete routine patient phone calls communicating laboratory results and follow-up laboratory appointment information. Complete discharge phone calls.
  • Provide assistance to RNs for prescription renewals and prior authorizations.
  • Assist with triaging patient calls as delegated by nursing staff.
  • Complete routine patient phone calls to assess need for nursing intervention.
  • Provide effective management and support of the InBasket in MiChart.
  • Assist in the completion of patient assistant program forms, disability forms and other clinical forms required for patient care.
  • Participate in pre and post-operative education.
  • Contact patients and arrange appropriate testing, referrals or follow-up; document if test completed elsewhere or declines, (e.g. eye exam).
  • Schedule appointments, complete lab orders, consult requests, or providing the patient with an appointment when needed.
  • Develop, along with lead or supervisor and scheduler colleagues, standard work.

Required Qualifications*

  • Graduation from a Medical Assistant program or an equivalent combination of education and 3 - 4 years of experience.
  • Recent experience caring for the Cardiac Surgery or other surgical specialty patient population in an ambulatory care setting.
  • Demonstrated ability to prioritize and problem solve.
  • Must have documented history of excellent attendance and punctuality.
  • Demonstrated competence in keyboarding and computer literacy is required, including Microsoft Office (Word and Excel).
  • Excellent customer service and time management skills are required.
  • Demonstrated ability to work well with a multidisciplinary team as evidenced by performance evaluations and references.
  • Flexibility and a willingness to undertake additional responsibilities as needed.
  • Experience in panel management including provider registry data and exception reports.
  • Knowledge of basic medical terminology
  • Moderate standing/walking, as well as, lifting positioning, pushing and/or transferring patients.
  • Exceptional interpersonal skills and ability to work well within a team setting
  • Communicates effectively.
  • Demonstrates active listening, written, verbal and information technology skills.

Desired Qualifications*

  • Certification as a Medical Assistant
  • Experience working within a large, complex health care setting
  • Advanced cardiac surgery knowledge.  
  • At least 1-3 years’ recent experience in ambulatory care setting.
  • Demonstrated competence in EPIC (MiChart) and Outlook.
  • Recent experience assisting nursing staff with results communication and forms completion. 
  • Previous experience in continuing education to improve efficiencies/transition to new systems and train/educate other staff.    
  • Knowledge of University policies and procedures.
