The College of Engineering (CoE) Facilities Management Office (FMO) has an opening for an Administrative Assistant who will provide administrative support to the FMO, including direct support for the FMO Director; answer main FMO phone line and triage inquiries; schedule meetings for FMO staff; maintain the CoE AED program; function as the FMO sustainability coordinator; create PowerPoint presentations; serve as back-up for card access authorizations; update FMO web page; maintain master key system and issue/authorize key requisitions for CoE; process travel, hosting and PCard transactions in Concur; initiate and monitor the status of work requisitions with Plant Operations, Building Services and AEC; organize and administer College-wide fire and severe weather drill programs; coordinate CPR, AED and First Aid training; maintain various databases such as the CoE construction project report, ERT contacts, etc.; provide administrative support for various committees which could include meeting logistics, minutes and action items; make updates in the UM Space Survey for Engineering Administration on a quarterly basis.
Hish School Diplpoma plus two years of college or an equivalent combination of education and demonstrated experience. The successful candidate must have the ability to prioritize and manage multiple responsibilities exercising sound judgment; work as part of a diverse team and be able to work independently; have excellent verbal and written communication skills that include public speaking and presentations; demonstrate proficiency in Microsoft Excel, Word, PowerPoint, and Publisher.
Experience using Concur, M-Market Site, C-CURE, the UM Facilities Management System, Business Objects (Space), Content Management System (CMS); knowledge of the College of Engineering facilities; previous experience with facilities management and/or construction issues; knowledge of fire and safety codes and standards; knowledge of UM EHS policy and procedures.
