Job Summary

The Events and Engagement Coordinator will provide strategic assistance related to planning, execution and engagement for Wallace House activities and events. Primary duties include collaborative communications and marketing for “Wallace House Presents” events; audience engagement and communications at Wallace House public events; developing and maintaining relationships with program supporters and audiences; alumni communications and engagement; communications and coordination support for speakers, seminars and activities; and providing hosting support for Wallace House activities.

Responsibilities*

Wallace House is an organization that supports the career development of accomplished journalists and that seeks to advance the vital role of journalism in an informed and engaged society. The Events and Engagement Coordinator provides collaborative team support for the “Wallace House Presents” public events series and programmatic events coordination for the Knight-Wallace Fellowships for Journalists and The Livingston Awards for Young Journalists, two of the country’s most prestigious programs for recognizing excellence in the field of journalism. The position involves all levels of event planning and execution including logistical coordination, guest and speaker planning and communication (35%); communications and marketing assistance (35%); audience engagement (15%); post-event follow-up and evaluation (10%); and other related duties as assigned (5%). Specific responsibilities may include:

Working closely with staff to ensure the timely, effective and accurate development and distribution of print and digital materials related to Wallace House programs and events.

Providing marketing and brand assistance for creation and distribution of event specific materials including invitations, programs, event booklets and audience information.

Providing on-site support at event venues, working with venue staff, university service departments and outside vendors to ensure effective execution of events from set up to pack up.

Providing hosting assistance in greeting speakers, special guests and general audiences at events.

Strategic social media engagement tied to events including developing social strategy for targeted audiences, pre-event outreach, live engagement during events, and post-event sharing of event highlights.

Excellent public-facing communication skills are essential for regular interactions with a range of audiences, prominent speakers, program donors, fellows and alumni. Evening work is periodically required, as events are typically in the late afternoon and early evening. The position reports to the director of Wallace House as part of a small collaborative staff. Regular duties support both the Associate Director for Knight-Wallace Fellowships and the Program Manager for the Livingston Awards with work ranging from logistical tasks to collaborative input on strategic execution. Successful candidates must understand and respect the importance of diversity and inclusion in a professional environment and be committed to audience and engagement strategies that aim to build a broad and diverse community of participants and supporters of Wallace House programs.

Required Qualifications*

  • 2-5 years of experience in events, communications, or marketing
  • Excellent written and verbal communication skills with both outside audiences and internal team members
  • Team player, experienced in collaborative project work
  • Strong interest in public outreach and network development
  • Database management skills, familiar with Filemaker, Salesforce or similar programs
  • Project management platform skills, familiar with programs such as Basecamp, Trello, etc.
  • Working knowledge of WordPress or other publishing and editing platforms
  • Audience development and engagement experience
  • Social Media outreach and engagement experience
  • Familiarity with AP style, New York Times style and content formatting
