The primary function is to assist researchers in the Department of Psychiatry with day-to-day office functions with a high level of organization and expertise.
Basic foundation in administrative and research concepts and practices sufficient to enable the incumbent to recommend changes in processes, to devise and install procedures, and to foresee administrative problems and requirements is needed.
The incumbent will perform a variety of office support functions including scheduling and coordination of meetings, coordinating travel arrangements for faculty to scientific meetings, reimbursement, and keeping records related to research proposals and reports. Specific tasks include: Maintain a calendaring system for multiple faculty, answer telephones, maintain CV’s, organize meetings and conferences, human resources functions such as assist in hiring and on-boarding, and with additional administrative tasks as needed.
The incumbent will also implement department policies and procedures. Supervise 7 administrative assistants in day-to-day work and office activities; monitor assignments and deadlines. Work with manager to implement new initiatives and business processes. Conduct staff meetings, planning, executing and providing administrative support. Conduct coaching/supervision sessions and performance reviews in conjunction with manager. Approve timesheets of direct reports and handle absences/coverage issues of administrative assistants. Assist with staffing by posting positions, interacting with HR to research compensation rates, and disciplinary actions, voluntary terminations; assist with the development of job descriptions for non-academic positions.
- Associates degree, considerable professional experience and reasonable prior management experience required
- A minimum of 4 years of administrative support experience
- Proficient in Microsoft Windows, Outlook email/calendaring, Excel and Powerpoint.
- Experience with financial management
- Basic knowledge of U-M research activities are essential.
- Outstanding written, verbal communication and organizational skills.
- Attention to detail and accuracy is essential,
- Excellent oral communication skills and customer-service,
- Ability to handle multiple tasks in a fast-paced office environment with competing deadlines.
- Excellent team skills are essential, as well as demonstrated computer skills (ability to adapt to new programs)
- Bachelor's degree preferred with reasonable supervisor and lead experience.
- Reliability, attention to detail, ability to get along with others in a close working environment, ability to work on a team and provide support to teammates, excellent attendance, responsive and demonstrates ability to problem solve and take initiative; manage priorities independently; excellent customer-service and communication.
- Progressive experience performing general administrative work is preferred; knowledge of University organizations, systems and operations is highly desirable.
- Experience working with EndNote (or related software), Microsoft Office and Outlook.
