The incumbent will coordinate and facilitate communications between patients, referring physicians, payers, clinic personnel, and revenue cycle staff regarding authorizations for services provided at multiple Otolaryngology (Ear, Nose and Throat) clinics across University of Michigan Health System. The referral and authorization coordinator is to act as a resource for Otolaryngology staff in the areas of referral and authorization management, insurance types and requirements, and charge entry/review.
The Referral and Authorization Coordinator is responsible for obtaining, processing, and tracking insurance referrals and authorizations for all outpatients at the C.S. Mott Hospital Pediatric Otolaryngology Clinic and Taubman Center Otolaryngology Clinic as well as patients scheduled in the Center for Facial Cosmetic Surgery treatment room using payer websites, health system resources, and the MiChart (Epic) electronic system. Outpatient services in these locations include those provided by audiologists, speech language pathologists, occupational therapists and Otolaryngology physician and advanced practice professionals.
The Referral and Authorization Coordinator is also responsible for obtaining, processing, and tracking insurance referrals and authorizations for Otolaryngology operating room cases and hearing aid sales. This individual functions as a part of a four-member team that maintains a large scope of knowledge regarding insurance plans and requirements in an ever-changing environment across a wide variety of services. The coordinator must attend the monthly Revenue Cycle Forum Meeting and summarize content for presentation to clinic and surgery schedulers as well as fellow referral coordinators.
The Referral and Authorization Coordinator must respond to patient/family questions comprehensively and in a timely manner, adhering to strong service excellence standards.
Active participation in monthly billing meetings is a key part of this role, as is working closely with schedulers, clinicians, and clinic staff to address work-flow challenges.
Bachelor's degree or 3-4 years of relevant work experience.
Knowledge of medical records and medical terminology.
Past record of excellent attendance.
Ability to exhibit a professional and positive image when interacting with patients, faculty and staff.
Must have strong organizational and time management skills as well as attention to detail and the ability to prioritize and manage multiple responsibilities in a very busy, complex clinical setting.
Strong written, verbal and non-verbal communication and active listening skills.
Ability to problem-solve independently when new challenges arise.
Remain flexible and adapt to new requirements, processes, and procedures as required.
Prior experience performing complex scheduling.
Financial counseling experience for healthcare patients.
Experience and expertise in using Epic/MiChart are preferred.
Knowledge of Otolaryngology terminology is helpful.
Experience working within a large, complex health care setting.
Familiarity with UMHS electronic medical record systems.
Knowledge of University policies and procedures.
Full time position. Hours are M-F 7:30 AM-4:30 PM but may vary depending on department needs. The incumbent will work at UH South in the main hospital at 1500 E Medical Center Dr, Ann Arbor, MI 48109.
